Job description

We are looking for dedicated Patient Access Associate 1, Patient Access Associate 2, Patient Access Associate 3, & Patient Access Associate 4 in the Fairfax and Ashburn area to work in children's specialties including Inova Children's Hematology/Oncology, Inova Children's Pulmonology, Inova Children's Gastroenterology, Inova Children's Neurology and Inova Children's Orthopedics & Sports Medicine These roles will be full-time, day shift with varying hours from 7:30 a.m. - 5:30 p.m. Monday - Friday.

Patient Access Associate 1:

The Patient Access Associate 1 is responsible for financial counseling and insurance verification, and notification to patients and/or guardians of financial responsibility. Identifies and communicates payer authorizations and referral requirements as required.

Patient Access Associate 2:

The Patient Access Associate 2 admits and schedules patients, conducts insurance verifications, and provides financial counseling. Ensures patient safety by demonstrating effective problem solving and effective communication skills. Engages in active listening when dealing with a customer complaints.

Patient Access Associate 3:

The Patient Access Associate 3 provides excellent service by identifying customer needs and fulfilling customer expectations. Performs assigned duties related to patient admissions while completing assigned activities related to patient scheduling for medical procedures. Verifies and enters insurance information and authorization/referral requirements into databases. Counsels patients on financial liability by using available financial counseling tools to achieve maximum reimbursement for patient services and ensures a safe patient care environment to the fullest potential, in an effort to achieve team goals.

Patient Access Associate 4:

The Patient Access Associate 4 completes work assignments within established quality standards while communicating effectively with various audiences by using the most appropriate methods for the situation. Counsels patients on financial liability by using available financial counseling tools to achieve maximum reimbursement for patient services. Verifies and enters insurance information and authorization/referral requirements into databases while performing other assigned duties related to the admission of patients. Identifies, analyzes, and effectively solves problems while providing excellent service by identifying customer needs and fulfilling expectations. Contributes to the fullest potential to achieve team goals while managing the completion of work assignments based on priority and due dates.

Duties and Responsibilities - Patient Access Associate 1:

  • Works independently to complete assignments without close supervision; Improves inefficiencies and minimizes repetitive errors by changing/improving workflow processes; Uses a logical process to identify the cause of problems and develop appropriate solutions.

  • Selects an appropriate method of communication for audiences and adjusts communication style when needed.

  • Explains insurance benefits and patient liability by using appropriate communication methods/styles.

  • Applies knowledge of online payer verification systems to obtain and validate insurance information on a timely and accurate basis.

  • Coordinates with other departments to assist or transport patients/visitors requiring special attention/support; Interviews patients to secure and document required medical, financial, demographic and insurance information.

  • Educates and assists patients with the completion/submission of applications for alternative sources of payment for healthcare services including medical assistance programs, loans and grants.

  • Reports safety hazards/violations and takes appropriate action to protect the environment and guests until help arrives - if necessary.

  • Communicates scheduling changes to patients, staff, physicians and patient representatives in a timely and professional manner.

  • May perform additional duties as required.

  • Expresses sincere concern and empathy when dealing with customer complaints.

  • Accesses appropriate systems/services to confirm insurance coverage or other means of payment.

  • Communicates scheduling changes to patients, staff, physicians and patient representatives in a timely and professional manner.

  • Identifies and communicates payroll authorization and referral requirements to patients.

  • Explains insurance benefits and patient liability by using appropriate communication methods/styles.

  • Reports safety hazards/violations and takes appropriate action to protect the environment and guests until help arrives - if necessary.

  • Delivers an acceptable volume of work with high levels of accuracy while improving inefficiencies and minimizing repetitive errors by revising current workflow procedures.

  • Recognizes when a problem needs to be elevated for resolution and involves others in the problem-solving process when additional input is needed.

  • May perform additional duties as assigned.

Duties and Responsibilities - Patient Access Associate 3

  • Reports safety hazards/violations and takes appropriate action to protect the environment and guests until help arrives - if necessary.

  • Accepts and provides direct/honest feedback between team members in a non-punishing manner.

  • Explains insurance benefits and patient liability through the use of appropriate communication methods/styles.

  • Supports scheduling activities by conducting pre-service activities such as insurance verification/submission.

  • Gathers information about customer complaints in a courteous and professional manner.

  • Troubleshoots individual admission issues in collaboration with other departments/staff.

  • Identifies and communicates payroll authorization and referral requirements.

  • Delivers an acceptable volume of work with high levels of accuracy.

  • May perform additional duties as assigned.

Duties and Responsibilities - Patient Access Associate 4

  • Encourages open communication of ideas and opinions; Coaches staff on communication methods/skills to foster effective and positive communication; Explains insurance benefits and patient liability using appropriate communication methods/styles.
  • Accepts responsibility to review and correct errors before completion and route to others for review when appropriate.
  • Requests and secures balance due payments from patients in accordance with established policies/procedures.
  • Reviews documented insurance benefits and patient liability in appropriate system(s) to prepare for patient counseling sessions; Maintains updated authorization/referral requirements information and communicates to team members accordingly.
  • Maintains knowledge of current local, state, federal and third party regulatory requirements; Facilitates pre-admission by performing tasks such as routing test results or assisting patients with billing/insurance processes.
  • Educates and assists patients with the completion/submission of applications for alternative sources of payment for healthcare services including medical assistance programs, loans and grants.
  • Resolves emergencies and conflicts with patients or visitors; As needed, reports safety hazards or violations and takes appropriate action to protect the environment and guests until help arrives.
  • Provides appropriate assistance to and on behalf of patients demonstrating and communicating a need for assistance; Reports all near misses, accidents and occurrences for patients, visitors and staff.
  • May perform additional duties as assigned

Minimum Requirements - Patient Access Associate 1

  • Education: High School diploma or GED
  • Experience: 1 year of customer service or 1 year of experience in a medical setting. Or Associates degree in lieu of experience

Preferred Qualifications - Patient Access Associate 1

  • Previous Pediatric Specialists of Virginia (PSV) work experience

Minimum Requirements - Patient Access Associate 2

  • Education: High School diploma or GED
  • Experience: 1 year of healthcare patient access experience or 1 year of experience in healthcare revenue cycle. Or Bachelor's degree in lieu of experience

Preferred Qualifications - Patient Access Associate 2

  • Previous Pediatric Specialists of Virginia (PSV) work experience

Minimum Requirements - Patient Access Associate 3

  • Education: High School diploma or GED
  • Experience: 2 years of healthcare patient access experience or 2 years of experience in a healthcare revenue cycle.

Preferred Qualifications - Patient Access Associate 3

  • Previous Pediatric Specialists of Virginia (PSV) work experience

Minimum Requirements - Patient Access Associate 4

  • Education: High School diploma or GED
  • Experience: 3 years of healthcare patient access experience or experience in a healthcare revenue cycle. Must be employed by Inova Health System for 1 year.

Preferred Qualifications - Patient Access Associate 4

  • Previous Pediatric Specialists of Virginia (PSV) work experience
