ROLE IMPACT
The Executive Administrative Secretary serves as the administrative coordinator for the Research Institute Team (RIT), providing high-level administrative support in a fast-paced healthcare environment. This position plays a key role in coordinating onboarding, educational programs, meetings, and departmental events while ensuring schedules, records, and communications remain organized and accurate. The ideal candidate is highly organized, professional, and enjoys supporting executives, leaders, and cross-functional teams.
KEY RESPONSIBILITIES
Coordinate calendars, onboarding sessions, trainings, meetings, and educational events.
Register participants, send confirmations, prepare materials, and coordinate event logistics.
Prepare orientation packets, training manuals, and educational materials.
Reserve conference rooms, coordinate catering, technology, and workshop logistics.
Maintain departmental records, attendance logs, reports, and onboarding documentation.
Order and maintain office supplies and training materials.
Serve as the department receptionist by greeting visitors, answering phones, directing calls, and providing exceptional customer service.
Provide administrative support to department leadership and assist with special projects as needed.
WHAT YOU BRING
High School Diploma or GED required.
Minimum 3 years of Executive Administrative Assistant, Executive Secretary, or Administrative Assistant experience.
Prior hospital or healthcare experience strongly preferred.
Experience supporting executives, leadership teams, or department-level operations.
Strong calendar management, scheduling, and event coordination experience.
Excellent organizational and multitasking abilities.
Professional written and verbal communication skills.
Ability to maintain confidential information with discretion.
Typing speed of 60 WPM or higher.
Proficiency with Microsoft Word, Excel, Outlook, and standard office equipment.
