Position Summary:
We are seeking a highly experienced and proactive Executive Assistant to provide high-level support to COO and CMO roles. This role goes beyond traditional administrative support - it is a strategic partner position that enables leadership to focus on high-impact priorities by managing complex operations, communications, and cross-functional coordination.
The ideal candidate thrives in a fast-paced, high-visibility environment, demonstrates sound judgment, and operates with a high degree of autonomy, discretion, and professionalism.
Key Responsibilities:
Executive Support & Prioritization
  • Manage complex executive calendars, balancing internal meetings, board-related activities, and external engagements
  • Anticipate scheduling conflicts and proactively prioritize based on business needs

  • Prepare briefings, agendas, and pre-read materials to ensure executives are well-prepared

Communications & Stakeholder Management
  • Serve as a key point of contact for internal and external stakeholders, including senior leaders and partners
  • Draft, review, and manage communications on behalf of executives
  • Maintain strict confidentiality across all sensitive business matters

Meeting, Travel & Event Coordination
  • Coordinate domestic and international travel, including multi-destination itineraries
  • Organize high-level meetings (Board meetings, leadership offsites, investor events)
  • Ensure effective meeting preparation, execution, and follow-up

Operational & Business Support
  • Track priorities, action items, and deadlines across multiple functions
  • Identify opportunities to improve workflows and increase operational efficiency
  • Partner cross-functionally with HR, Finance, Legal, and other departments

Strategic & Organizational Support
  • Support leadership team rhythms, including planning cycles and performance management timelines
  • Assist with organizational structure updates, headcount tracking, and documentation
  • Facilitate leadership meetings, ensuring alignment on priorities and accountability

Qualifications
  • 5+ years of Executive Assistant experience supporting senior leaders (VP+ level preferred)
  • Strong ability to manage competing priorities in a fast-paced environment
  • Exceptional organizational, time-management, and problem-solving skills
  • Excellent written and verbal communication skills
  • High level of discretion and professionalism with confidential information
  • Advanced proficiency in Microsoft Office (Outlook, Excel, Word) or Google Workspace
  • Strong interpersonal skills and ability to build relationships across all levels

Preferred
  • Experience in large, complex organizations (Fortune 500 or similar)
  • Exposure to project management or operational planning
