Front Desk Administrator

Compensation: $25/hour, 40 hours/week

Job Type: Full-time, W2, Comprehensive Full Benefits Included

Location: Onsite – Ridgefield Park, NJ

Schedule: Monday - Friday


About the Role and Company

Trading Academy is dedicated to making financial education accessible, empowering, and impactful. Exceptional service is at the heart of everything we do — for our students and for one another.

As the first person visitors, students, and guests meet upon arrival, you'll play an important role in creating a welcoming, professional experience while supporting the daily operations of our training center. This is a dual-focus role: roughly half your time is screen-based administrative work; the other half is customer service and guest-facing. Both sides matter equally.

What You'll Do

  • Serve as the welcoming face of the training center — first impression for every client and guest
  • Greet and assist all guests, students, and vendors
  • Coordinate logistics for weekly onsite training events: room setup, materials, catering, and day-of execution
  • Organize office, classroom, and break room and maintain supplies and equipment.
  • Sort and distribute mail; prepare outgoing mail and packages.
  • Serve as the contact person to the building maintenance department and service vendors when needed.
  • Administer a variety of administrative duties including telephone support, calendar scheduling, travel arrangements, document preparation, and general office management functions.
  • Maintain accurate registration records and enrollment data in Salesforce and internal systems
  • Coordinate event scheduling, calendar coordination, and instructor logistics
  • Keep classrooms, common areas, and event spaces organized and event-ready

What We're Looking For

  • 3+ years in a front desk, administrative, events or hospitality-focused role
  • Detail-oriented with demonstrated comfort in data entry and scheduling systems
  • Excellent verbal and written communication skills
  • Ability to lift objects up to 25 lbs.
  • Strong organizational and multitasking abilities; calm in fast-moving environments
  • Microsoft Office proficiency required; Salesforce or CRM experience a plus
