Job description

POSITION SUMMARY:
This position supports the work of the YMCA of the Rockies, Snow Mountain Ranch, which operates a mission-driven family and group conference and retreat center serving more than 150,000 guests annually. The Food Service Office Manager reports directly to the Food Service Director and provides comprehensive administrative support to the Food Service Department. Primary responsibilities include coordinating scheduling, payroll, staffing logistics, and departmental calendars, as well as serving as a key liaison between the Food Service Department and other Snow Mountain Ranch and Association departments.

ESSENTIAL FUNCTIONS:
  • Prepare and manage schedules for all Food Service employees, including time-off requests and overtime monitoring.
  • Manage and maintain the Food Service Banquet/Dining Hall and Cookout Calendar.
  • Assist with Food Service payroll information for the HR Department.
  • Prepare, update, and monitor Personnel Action Forms (PAFs).
  • Track and record interdepartmental spending within the Food Service Department.
  • Manage credentials and approved driver requests.
  • Represent the Food Service Department at key functions such as Orientation.
  • Serve as Brand Champion representative for Food Service.
  • Possess excellent customer service skills; demonstrate a friendly, helpful, patient, and professional demeanor.
  • Effectively coordinate with the Conference Office to ensure strong collaboration between Conference and Food Service operations.
  • Be fluent in written and oral English and maintain professional communication with staff and guests.
  • Order necessary supplies in coordination with the Association Food Service Director.
  • Oversee the Department's cash boxes and manage uniform inventory and allocation.
  • Assist with the creation and maintenance of department marketing materials, such as the Catering Packet and Pine Room Menus.
  • Maintain a neat, clean, and professional appearance and work environment.
  • Work holidays, weekends, and morning or evening shifts as needed.

REQUIREMENTS/QUALIFICATIONS:
  • Minimum of two years' experience in hotel or restaurant operations management.
  • Strong leadership, organizational, and time management skills.
  • Ability to use Maestro software or willingness to learn.
  • Proficiency in basic computer applications and property management software.
  • Must possess a valid U.S. driver's license, maintain an acceptable driving record, and comply with YMCA driving policies.
  • Ability to work cooperatively and effectively across multiple departments.
