Job description

Hilco Vision is an industry leading global eyewear/eye care company delivering comprehensive solutions to customers, built on a platform of innovation and operational excellence. It has direct subsidiaries in the USA, Canada, UK, Germany, Australia, China, Hong Kong, Belgium and the Netherlands.  The company’s product portfolio encompasses Prescription Safety, Lens care, Eyewear Accessories, Lab & Dispensing, Ocular Surface, Exam Supplies, and Vision Testing.

Hilco Vision is searching for a skilled Distribution Associate III, special parcel shipping. This role oversees and processes all Amazon, Dunhams, and Nexcom orders. Each of these customers have an external portal required for the shipper to get ASN documents or shipping labels for the package(s). The SOP's for the customer portals are different for each account. The consequences of not completing required actions with each customer portal, causes charge backs for Hilco Vision. Without the knowledge to ship in the portal, the packages cannot be shipped. This role will continue to take on additional duties when new customers require an external portal login for small parcel shipping.

This role is 3pm-11:30pm Monday-Friday

Qualifications:

  • High school diploma and up to three years of shipping experience
  • MS Office Suite knowledge at an intermediate level, specifically MS Word and Excel
  • Special knowledge of individual customer needs, portal use, and individual shipping requirements.
  • Ability to communicate effectively via email (via MS Outlook), phone and in-person
  • Use of Softeon (or other WMS) and M3 – basic knowledge of both is necessary
  • Understanding of commercial invoices and the ability to troubleshoot issues that arise using Process Weaver
  • Ability to work independently, utilizing specialized knowledge of rules, procedures, and concepts regarding shipping
  • Ability to solve a wide range of problems using general Hilco Vision precedents and practices
  • Ability to meet pre-determined deadlines and great attention to detail
  • Able to utilize a computer w/ MS Window Systems and web-based applications
  • Read, write, speak and understand English, as well as understand basic math.

Physical Requirements

  • Must be able to lift up to 50lbs
  • Required to be on your feet and stationery throughout an eight-hour day

Responsibilities:

  • Oversee and process all external shipment and paperwork portals for customers including, but not limited to Amazon, Dunhams, West Marine, and Nexcom. Will be responsible for additional portals for future customers as needed.
  • Ensure all processes in external portals are followed correctly and efficiently to prevent charge backs from customers that arise when operating procedures are not followed.
  • Utilize Process Weaver program to action any offline, small parcel shipping required for drop ship orders and any offline shipping emergencies that arise within the facility.
  • Process Loblaw invoicing following the closure of an order, requiring a daily pallet breakdown of each case and ensuring all orders have a paper invoice.
  • Troubleshoot invoices according to Process Weaver and MS Excel functions
  • If all responsibilities have been completed for Special Shipping, this role will help with any/all other shipping department needs based on supervisor or manager discretion.
  • Communicate effectively and in a timely manner with colleagues in other functions at varying levels, including sales team members, customer service, and sales support

Incentive plan:

  • Attendance-Employee must have worked 85% (148 hours) of the working days in a given month for the home department earning the incentive.
  • Productivity- Must have efficiency more than 85% minimum for the month.
  • Violations- If an employee receives a write up due to a policy violation or quality issue, they will not be eligible for the incentive for that month.
  • Employment- Must be a full time Hilco employee for more than 30 days. The employee must be actively employed on the date of the incentive payout to receive it.
