What you'll do
We are seeking a Workplace Office Manager to join our Workplace Team in San Francisco, reporting to our Real Estate Development Director and our Global Workplace Manager. In this role, you will be responsible for day-to-day activities that ensure the office is clean, functional, and organized - while delivering an exceptional experience for every employee who walks through our doors.
You will work closely with HR, IT, Security, and Facilities to support smooth office operations, manage vendor relationships, and help build a culture where people feel genuinely supported at work.
Key Responsibilities
  • Ensure the office is clean, organized, and fully functional at all times.
  • Order, receive, inventory, and stock snacks, beverages, and office supplies.
  • Pick up, sort, and distribute daily mail; receive, log, and notify employees of incoming packages.
  • Review, respond to, and resolve requests submitted via Jira tickets or the Office Email Alias.
  • Maintain meeting room cleanliness and readiness throughout the day.
  • Continuously review and analyze operational procedures, implementing improvements to maximize space utilization, equipment use, and waste reduction.
  • Partner with the Regional Workplace Lead to develop, maintain, and activate site-specific Emergency Action Plans.
  • Assess workplace maintenance needs and coordinate services, including janitorial and repair vendors.
  • Support onboarding and offboarding logistics, including coordination with HR, IT, and Security.
  • Assist with managing satellite offices as needed.
  • Coordinate office reorganizations and moves in partnership with the Regional Workplace Lead and other Workplace Coordinators.
  • Support internal communications about operational changes, events, and workflow updates.
  • Provide proactive and responsive communication and resolution for both routine and emergency requests.
  • Employee-first approach; builds a positive onsite culture and experience.

What we're looking for
  • Strong interpersonal and communication skills, with the ability to build relationships across departments and manage conflict constructively.
  • Sourcing, managing, and negotiating with external partners (janitorial, snacks, property management, etc.).
  • Comprehensive knowledge of Slack and Google Workspace (Gmail, Calendar, Docs, Sheets, Slides).
  • Experience using ticketing software such as Jira, Freshservice, or ServiceNow.
  • Ability to navigate ambiguity and shifting priorities in a fast-paced workplace.
  • Workplace or facilities experience in a startup setting is a plus.
  • In-office presence five days a week is required to deliver the optimal workplace experience.
  • Planning, organization, prioritization, execution, and strong attention to detail.

What else you need to know
This role is based in our San Francisco office. Atoms is a company driven by invention and continuous change - we are constantly reimagining our industries, building new products, and refining how we operate. We do our best work together. That's why all of our office-based teams work onsite, five days a week.
The base salary range for this role is $73,000 - $95,000 per year.
Actual compensation will be determined on an individual basis and may vary depending on experience, skills, and qualifications.
Base salary is just one part of your total rewards package. You may also be eligible for equity awards and an annual performance-based bonus.
