Job description

Word Processor & Admin Support Specialist

Shulman Rogers is seeking a Word Processor & Administrative Support Specialist to provide high-quality document production and administrative support to attorneys and practice groups across the firm. This position is responsible for producing, formatting, proofreading, and editing complex legal documents while also providing administrative assistance as needed to ensure efficient day-to-day operations. In addition, this position includes scheduled daily reception coverage. A successful candidate will have law firm experience and must be highly organized, detail-oriented, and customer service focused.

PRIMARY Duties and Responsibilities :

Word Processing & Document Production

  • Typing and formatting documents such as reports, letters, memos, manuals, spreadsheets and presentations.
  • Transcribe and revise tapes and handwritten materials containing correspondence, memoranda, and project work in the daily production of legal documents. Edit and finalize documents and copy and disseminate to clients, attorneys, and staff.
  • Ensure documents are properly formatted according to firm guidelines and templates.
  • Manage document versions and revisions as needed.
  • Create, edit, and update tables, charts, graphics and graphs within documents.
  • Convert documents between formats (PDF, Word, Excel, PowerPoint) and clean up formatting as needed.

Administrative Support

  • Provide administrative support to assigned attorneys and practice groups based on business needs and workload.
  • Assist with scheduling meetings, conference calls, and appointments.
  • Assist with opening new matters, organizing electronic and paper files, and maintaining document management systems.

Reception Coverage

  • Provide scheduled daily reception coverage during lunches, breaks, or other designated periods.
  • Professionally greet clients and visitors.
  • Answer, screen, and route incoming telephone calls.

QUALIFICATIONS and Skills :

  • High school diploma or equivalent; additional certification in word processing.
  • 3+ years of experience, preferably in a legal or professional services environment.
  • Detail-oriented, with strong organizational and time management skills to effectively prioritize and manage workload.
  • Ability to proof and perform editing (e.g., punctuation, grammar, spelling) of routine office correspondence and forms.
  • Familiarity with document management systems and file sharing platforms is preferred.
  • Experience supporting multiple professionals in a fast-paced environment.

This position is full-time in-office.
