Project Manager

JOB SUMMARY:                                                                                                                                      

The Project Manager provides project management leadership across multiple clients/brands while championing process, workflow, and best practices within the agency. Able to manage a wide range and volume of projects, the Project Manager motivates project management colleagues by showing superior collaboration, organization, and communication skills. The Project Manager has the proven ability to propel projects forward and experience creating project timelines for various types of projects. The Project Manager can easily partner with Account Services in managing client relationships when needed and is comfortable being client-facing. Creating timing estimates is also an area of comfort for the Senior Project Manager, as is leading complex projects with minimal supervision. The Project Manager leads by example and has the ability and experience to manage or mentor junior project management staff while inspiring, encouraging, and enabling peers to exercise their talents. The Project Manager is used to troubleshooting unexpected project fluctuations and readily provides proactive solutions for expediting timelines, accommodating limited budgets, and varying resource availability. The Project Manager is solutions-focused, driven to problem solve, and approaches each day with a will-learn and can-do attitude.

Snow's business is centered around the patient journey, and the Project Manager, like all positions at Snow, must be open, compassionate, and sensitive to the unique life experiences of these patients and caregivers. The Project Manager must be able to incorporate the unique patient/caregiver experience into the strategies and solutions we provide to our clients.

 PATIENT PRIVACY:

The core of our business is working with patients. It is most likely that you will come in contact with personally identifiable information (PII) and personal health information (PHI) of patients living with chronic illness. The Project Manager will be required to successfully complete and adhere to training courses which may include, but are not limited to:

  • Snow Policies and Procedures
  • Health Insurance Portability and Accountability Act (HIPAA) requirements such as the Privacy Rule, the Security Rule, and Sunshine Act reporting
  • Adverse Event (AE) Reporting 
  • The promotional requirements for pharmaceuticals under the FDA and FTC and other applicable federal or state regulations
  • Privacy and Data Security

 ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:

  • Partner with Account Services in developing and validating comprehensive project scopes, change orders, and estimates, including related project assumptions
  • Collaborate effectively with all cross-functional partners within the agency as well as agency partners and/or third-party vendors
  • Lead internal meetings (e.g., project kick-offs, status meetings, internal regroups) and possess the ability to conduct client-facing status meetings in partnership with Account Services as needed
  • Act as a manager or mentor to junior project management staff, including teaching them Snow processes and project workflows
  • Develop and maintain critical business documents, such as end-to-end project timelines, Gantt charts, and contact reports
  • Display a mastery of agency workflow tools and competency in Excel
  • Liaise with cross-functional teams from project outset and, in an effort to fuel collaboration, ensure subject matter experts are looped in from the beginning
  • Proactively identify opportunities to realize efficiencies, strengthen processes, and maximize project budgets
  • Lead agency and department-specific initiatives, including trainings and the implementation of new processes
  • Escalate issues when appropriate and necessary
  • This position may include up to 10% in travel to

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge:

  • Knowledge of project development, assumptions, dependencies, and timelines

Skills:

  • Exceptional organizational skills and ability to track and maintain a number of varied projects in a fast-paced environment
  • Experience using cloud-based project management and workflow tools (Experience in Workfront strongly preferred)
  • Maintain critical business documents, including end-to-end project timelines, internal status documents, Gantt charts, and contact reports
  • Fluency of Microsoft Office Suite
  • Comfortable dealing with ambiguity
  • Strong written and verbal communication skills
  • Ad agency experience in a project or workflow management-related role is a plus
  • Excellent collaboration, problem-solving, and interpersonal skills
  • Ability to mentor junior project management staff and provide recommendations for troubleshooting varying project issues

EDUCATION, EXPERIENCE AND RELATED QUALIFICATIONS:

Bachelor's degree from a four-year college or university and 3+ years of related experience and/or training preferred. Candidates must have a valid driver's license. In some instances, a passport may be necessary. 2+ years of integrated project management experience (preferably in healthcare or a comparable industry) or equivalent
