Salary: $20.00 - $25.00 per hour

Status:  Full-Time, Non-Exempt

Schedule: Monday - Friday 9am-5pm, with occasional evenings and weekends as needed

In 1990, a small group of dedicated volunteers with a desire to eliminate substandard housing in our community founded San Gabriel Valley Habitat for Humanity. Thanks to our supporters, more than 200 local and international families have been able to build or repair their own homes here in Los Angeles' San Gabriel Valley and beyond. Through the years, we have maintained our unrelenting determination to help families in need by offering a hand up, not a handout. Through donations, shopping at our ReStores, volunteering or adding a voice to support affordable housing, everyone can help families achieve the strength, stability, and self-reliance they need to build better lives for themselves.


Job Summary:

The Event Coordinator supports the planning, coordination, and execution of fundraising, donor engagement, volunteer, community, and disaster recovery events that advance the mission of San Gabriel Valley Habitat for Humanity. This position plays a key role in supporting the organization's wildfire recovery and rebuilding efforts by coordinating events that engage donors, volunteers, community partners, and stakeholders. The Event Coordinator works collaboratively across departments to ensure successful event execution while fostering meaningful relationships that increase community involvement and support Habitat's mission. This entry-level professional position is ideal for an organized, detail-oriented, and tech-savvy individual who thrives in a fast-paced environment and enjoys managing multiple projects simultaneously.


Key Responsibilities:

Event Planning & Coordination

  • Coordinate the planning and execution of fundraising, donor engagement, volunteer appreciation, community outreach, and wildfire recovery events. 
  • Develop and maintain detailed event timelines, project plans, and event checklists. 
  • Coordinate venues, vendors, catering, rentals, entertainment, permits, transportation, and event logistics. 
  • Manage attendee registration, RSVPs, seating arrangements, and event communications. 
  • Assist with event setup, execution, and breakdown. 
  • Conduct site visits as needed to ensure event readiness. 
  • Anticipate and resolve logistical issues before and during events. 
  • Ensure events are executed professionally, on schedule, and within budget. 

Administrative & Project Support

  • Maintain organized event calendars, project plans, and planning documents. 
  • Prepare purchase requests, contracts, invoices, and vendor documentation. 
  • Track event budgets and expenses. 
  • Maintain event records, vendor information, sponsorship agreements, and planning files. 
  • Prepare post-event reports, attendance summaries, and evaluations. 

Marketing & Communications

  • Coordinate event invitations, registration platforms, confirmations, and attendee communications. 
  • Collaborate with the Communications team to develop promotional materials, signage, and event collateral. 
  • Assist with email campaigns, website updates, and social media promotions related to events. 
  • Coordinate name badges, event materials, and printed collateral. 

Volunteer, Donor & Sponsor Coordination

  • Coordinate volunteer recruitment, scheduling, and assignments for events. 
  • Assist with donor and sponsor communications before, during, and after events. 
  • Help ensure an outstanding experience for volunteers, donors, sponsors, and guests. 
  • Coordinate sponsor recognition and event acknowledgments. 

Collaboration & Mission Support

  • Work collaboratively with Development, Programs, Construction, ReStore, Communications, and Operations staff to support organizational initiatives. 
  • Assist with events supporting Habitat's affordable housing, homeownership, neighborhood revitalization, and wildfire recovery programs. 
  • Support additional organizational events and special projects as assigned.

Requirements

Qualifications

  • Bachelor's degree in Event Management, Communications, Marketing, Business Administration, Hospitality, Public Relations, or a related field. 
  • Strong organizational, project management, and time management skills with the ability to prioritize multiple projects and meet deadlines. 
  • Excellent written, verbal, and interpersonal communication skills with a strong customer service orientation. 
  • Highly detail-oriented, tech-savvy, and proficient in Microsoft Office Suite, with the ability to quickly learn new software and technology platforms. 
  • Internship, volunteer, or professional experience coordinating events, supporting community engagement, or working in a nonprofit environment is preferred. 
  • Valid California driver's license with reliable transportation and the ability to work occasional evenings and weekends as needed.

  • Exceptional organizational and project coordination skills with the ability to manage multiple priorities, meet deadlines, and maintain a high level of attention to detail.

  • Excellent written, verbal, and interpersonal communication skills with the ability to build positive relationships with employees, volunteers, donors, sponsors, vendors, and community partners. 
  • Strong problem-solving skills with the ability to adapt to changing priorities and work effectively in a fast-paced environment. 
  • Ability to work both independently and collaboratively while demonstrating initiative, professionalism, and a commitment to excellent customer service.
