GENERAL PURPOSE
Assumes responsibility for the upkeep and maintenance of clinical medical records.
SUPERVISION RECEIVED
Works under the general supervision of the Health Department Supervisor/WIC Director and/or Administrative Services Manager.
SUPERVISION EXERCISED
None.
SAFETY SENSITIVE DESIGNATION
This position is designed as a safety sensitive position and is subject to random drug screening.
SCHEDULE INFORMATION
  • Monday through Thursday
  • 7:00 a.m. to 6:00 p.m. with 1 hour for lunch
  • No required overtime
  • No nights, weekends, or shift work
  • 13 paid holidays

ESSENTIAL DUTIES AND RESPONSIBILITIES
Registers patients, prepares medical records and performs data entry. Maintains records pertinent to patients processed.
Answers incoming phone calls, makes appointments, answers inquiries, and provides information when possible.
Posts information to electronic medical records. Maintains electronic medical records.
Prepares and types various reports from specific program data submitted.
Handles correspondence with patients, other medical facilities, and referral agencies.
PERIPHERAL DUTIES
Performs other duties as assigned by the Supervisor and Administrative Manager.
DESIRED MINIMUM QUALIFICATIONS
Education and Experience:
(a) Graduation from high school or GED equivalent.
(c) Previous clerical experience preferred.
(d) Experience in MS Word, MS Excel and Outlook are required.
Necessary Knowledge, Skills, and Abilities:
(a) Ability to establish and maintain effective working relationships with supervisors, peers, and the general public.
(b) Strong organizational skills.
(c) Strong communication skills.
TOOLS AND EQUIPMENT USED
Phone switchboard, computer, copier, postage machine, fax, scanner and calculator.

The noise level in the work environment varies dependent upon the number of persons in the office.
The City of Texarkana, Texas provides three weeks of paid vacation and three weeks of paid sick leave per year as well as 13 paid holidays per year.
Retirement benefits are through the Texas Municipal Retirement System with the City contributing at a rate of 2 to 1 and the employee contributing 7% each paycheck to TMRS. Employees are vested after five years and may retire after either twenty years of service at any age or at age 60 as long as they are vested.
Retirement benefits for the Fire Department are paid through the Firemen's Relief and Pension Fund and employees are eligible to retire after twenty years of employment.
A voluntary 457 deferred compensation program through MissionSquare is also offered to all City employees.
The City of Texarkana, Texas provides health, dental, and vision insurance to its employees at a minimal cost. Life insurance equal to one times your annual salary is offered at no cost to the employee with supplemental life and dependent life insurance also available but is paid by the employee. Insurance becomes effective the first of the month following thirty days of employment.
