Job Title: HR Operations & Lifecycle Specialist
Role Overview
We are seeking a highly organized HR Operations & Lifecycle Specialist to manage the end-to-end administrative logistics for our internal workforce and external consultants. In this role, you will be the engine behind the employee lifecycle, overseeing everything from high-volume onboarding and system access procurement to complex offboarding compliance and organizational restructures. You will act as a central point of contact for HR Business Partners and Talent Acquisition, ensuring that data integrity, payroll status requests, and personnel documentation meet rigorous corporate and security standards. The ideal candidate is a process-oriented professional who thrives in a collaborative, fast-paced environment and possesses a comprehensive understanding of HR system workflows.
Key Responsibilities
Onboarding & Workforce Integration
• Full-Cycle Onboarding: Facilitate the administrative integration of all new employees and external contractors; collect, validate, and track all required legal and policy documentation.
• Systems & Logistics: Procure necessary equipment and systems access (Active Directory, etc.) to ensure day-one readiness for all new hires.
• Data Integrity: Responsible for initial data entry (IDE) into the Enterprise Resource Planning (ERP) system; process I-9s and submit Payroll Status Requests (PSRs) in accordance with strict compliance procedures.
Offboarding & Compliance
• Secure Transitions: Oversee the offboarding process for the workforce to ensure the completion of all security and facility protocols.
• Exit Management: Prepare exit paperwork, schedule exit interviews, and manage termination distribution communications.
• Records Management: Ensure all onboarding and offboarding documents (e.g., resignation letters, handbooks) are accurately filed within electronic personnel records.
HR Management & Reporting
• Reporting Support: Deliver ad hoc reporting to the Head of HR and management teams; monitor associate referrals and manage exception cases.
• Administrative Support: Support HR Business Partners with occurrence reporting, restructure activities, and high-volume organizational changes.
• TA Coordination: Partner with Talent Acquisition to schedule interviews, reserve conference rooms, and coordinate with Workforce Management (WFM) for seamless hiring activities.
• Emergency Systems: Manage employee data within emergency alert and notification systems.
Qualifications & Requirements
• Experience:
o2+ years of experience as an HR Generalist.
o3+ years of experience in Recruiting or Talent Acquisition support.
• Technical Skills:
oAdvanced proficiency in SharePoint and Microsoft Office Suite.
oExperience with ERP systems (SAP or similar) and Active Directory management.
oProven experience with high-volume data entry and payroll status updates.
• Core Competencies:
oComprehensive understanding of HR system workflows and internal policies.
oExcellent communication skills for executing high-volume reorganization correspondence.
oAbility to work on multiple projects simultaneously with high expectations for quality and accuracy.
oStrong collaborative mindset with the flexibility to backfill other HR roles as needed.
