Role and Responsibilities

As a Wellness Services Coordinator at Functional Medicine of Idaho, you will play a key role in delivering exceptional patient experiences and supporting the daily operation of our wellness services. Your responsibilities include, but are not limited to:

  • Patient Welcome & Check-In: Greet and check in patients for wellness services and IV therapy appointments, ensuring a warm and positive first impression.
  • Scheduling: Schedule, reschedule, and confirm wellness and IV therapy appointments with accuracy and efficiency.
  • Patient Education: Explain wellness service procedures, answer general patient questions, and guide patients through their wellness journey.
  • Wellness Equipment Operation: Set up, operate, and monitor wellness equipment including Ionic Foot Bath, Infrared Sauna, and Flowpresso Compression Therapy.
  • Body Composition Analysis: Perform Body Composition Analysis (BIA) assessments and accurately record results in patient records.
  • Patient Safety & Comfort: Ensure patient comfort and safety throughout all wellness services and treatments.
  • Room & Equipment Preparation: Prepare treatment rooms and wellness equipment prior to each appointment.
  • Sanitation & Maintenance: Clean, sanitize, and maintain all wellness equipment and treatment areas in accordance with clinic standards.
  • Documentation: Maintain accurate appointment records and service documentation in compliance with clinic policies.
  • Care Team Coordination: Coordinate patient flow with providers, nurses, and other wellness team members to ensure seamless care delivery.
  • Inventory Management: Monitor inventory levels for wellness supplies and communicate restocking needs as they arise.
  • Patient-Centered Service: Deliver exceptional customer service and foster a welcoming environment for all patients.
  • Confidentiality: Maintain patient confidentiality and adhere to all clinic policies, procedures, and HIPAA requirements.
  • Flexibility: Be flexible to complete tasks and additional responsibilities as requested by your next-level supervisor.

Qualification and/or Work Experience Requirements

  • High school diploma or equivalent required.
  • Previous experience in healthcare, wellness, spa, fitness, hospitality, or customer service preferred.

Preferred Skills

  • Experience working in a medical, chiropractic, functional medicine, or wellness clinic.
  • Comfortable learning and operating wellness equipment and technology.
  • Familiarity with electronic scheduling systems and patient management software.
  • Experience coordinating IV therapy appointments or wellness services.
  • Strong communication and interpersonal skills with a professional, patient-centered attitude.
  • Highly organized with the ability to multitask while maintaining attention to detail.

Physical Requirements

  • Ability to stand and walk for extended periods.
  • Ability to lift up to 25 pounds.
  • Ability to assist with equipment setup and patient positioning as needed.
