Wellness Assistant & Coordinator

Inspired Change Wellness | Primarily Remote | Overland Park & Lawrence, Kansas

$24–$30 per hour | Full-Time | 40 Hours/Week

Inspired Change Wellness is a growing functional and integrative health practice founded by Eileen Frausto, WHNP-BC. We are looking for an exceptional Wellness Assistant & Coordinator who wants more than a job.

We are looking for someone who wants to build a career, grow with a company, and become an essential part of a growing wellness practice.

If you are highly organized, meticulous, technologically capable, proactive, and genuinely interested in health and wellness, we want to meet you.


ABOUT THE ROLE

This is a full-time, primarily remote position combining administrative coordination, client support, practice operations, technology, social media, and event coordination.

You will work closely with the founder and become an important part of the day-to-day operation and growth of Inspired Change Wellness.

Experience: 2+ years of experience in administrative support, healthcare, wellness, client coordination, practice management, or a related field preferred.

The right person will eventually become someone we can trust to say:

“I don't have to worry about it. I know it's handled.”


Employment Details

  • Full-Time
  • 40 hours per week
  • Primarily remote
  • $24–$30/hour, based on experience and demonstrated skill
  • Participation in one event each week
  • Events may be virtual webinars or in-person events in Overland Park or Lawrence, Kansas
  • Some events take place in the evening, so evening availability is required


WHAT YOU'LL DO

Administrative & Practice Coordination

  • Manage calendars, scheduling, confirmations, and follow-up
  • Coordinate client onboarding and administrative processes
  • Maintain accurate client records and documentation within the EHR
  • Manage emails, messages, forms, and client communications
  • Manage client information and communication within GoHighLevel
  • Organize documents, files, calendars, spreadsheets, and resources
  • Track tasks, projects, deadlines, and follow-up
  • Help maintain systems, workflows, and automations
  • Coordinate labs, orders, resources, and other administrative details as directed
  • Create and maintain checklists, systems, and processes
  • Identify opportunities to improve efficiency and organization
  • Anticipate needs and take action without always being asked


Events & Community Engagement

Events are an important part of how we connect with our community and introduce potential clients to Inspired Change Wellness.

You will help with:

  • Event planning, coordination, production, setup, and breakdown
  • Event logistics, materials, technology, signage, and supplies
  • Welcoming guests and creating a warm, professional experience
  • Engaging in meaningful conversations with potential clients
  • Learning about prospective clients' needs and health goals
  • Answering general questions about Inspired Change Wellness and our services
  • Representing the practice with confidence, warmth, and professionalism
  • Identifying potential clients who may benefit from our services
  • Collecting contact information and ensuring appropriate follow-up
  • Supporting presentations, webinars, workshops, and community events
  • Post-event follow-up and organization

You don't need to be a salesperson.

You do need to be personable, confident, professional, and genuinely interested in helping people.


Social Media & Digital Presence

You will also help maintain and grow our online presence.

Responsibilities may include:

  • Creating and publishing Facebook and Instagram posts and stories
  • Scheduling social media content
  • Responding to comments and direct messages
  • Encouraging meaningful engagement with our community
  • Managing content through Meta Business Suite
  • Monitoring basic social media analytics and engagement
  • Creating simple, polished graphics using Canva or similar tools
  • Repurposing educational content, blogs, videos, and resources for social media
  • Maintaining a consistent, professional, warm, and educational brand presence
  • Bringing forward creative ideas for content and engagement

You do not need to be a professional social media manager, but you should be comfortable creating, organizing, scheduling, and managing social media content.


TECHNOLOGY & SYSTEMS

You should be highly comfortable with technology and able to learn new platforms quickly.

Experience with the following is strongly preferred:

  • Google Workspace — Gmail, Calendar, Drive, Docs, Sheets
  • GoHighLevel (GHL) — CRM, workflows, communication, scheduling, and client management
  • Slack — team communication and coordination
  • EHR systems — electronic health records, documentation, and confidential client information
  • Facebook & Instagram
  • Meta Business Suite
  • Canva or similar design platforms

You don't need to know every system on day one.

You do need to be technologically capable, adaptable, and confident learning new systems.
