General Description of the Position
Under the supervision of the Executive Director of Graduate Programming and Student Success, the Administrative Secretary is responsible for secretarial functions related to the operation of an administrative unit, exercising judgment, confidentiality, discretion, and independence. Hours are Monday-Friday, 8:30 a.m. - 4:30 p.m.
Essential Functions & Required Knowledge, Skills and Abilities
Essential Functions
The following are the functions essential to performing this job.
  1. Studies the operation of, and monitors the unit to assure the policies, procedures, and general directives.
  2. Develops, initiates, and maintains efficient office procedures.
  3. Participates in budget preparation and control.
  4. Assists in preparing proposals for special projects.
  5. Helps to analyze and coordinate requests from units under the direction of the executive director
  6. Collects data, performs statistical and research work as assigned, and prepares rough and final drafts of reports.
  7. Liaises effectively with the secretaries of other administrative and instructional units.
  8. Edits drafts prepared by the executive directorandothermembersoftheadministrativeunitforclarity,spelling, and grammatical accuracy and prepares final drafts for distribution.
  9. Schedules and arranges appointments and conferences.
  10. Meets and answers inquiries of faculty, students, and staff as requested.
  11. Supervises and trains other clerical staff.
  12. Routes and processes contracts, routes mail, answers telephone, greets visitors.
  13. Provides secretarial support for other staff members as needed.
  14. Works flexible hours as requested by executive director.
  15. Makes travel arrangements and plans meetings and conferences.
  16. Performs related duties as assigned.
Required Knowledge, Skills, and Abilities
The individual in this job must possess these skills and abilities or be able to explain and demonstrate that they can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.
  1. Excellent oral and written communication skills.
  2. Ability to interact with the public in a very professional and pleasant manner.
  3. Five years of office management experience.
  4. Typing proficiency at the rate of 50 words per minute.
Qualification Standards
  1. Education: High school graduate and two years college level training in a business program.
  2. Successful experience: Clerical, supervisory and administrative experience.
  3. Other preferences: Four-year college degree, B.S., B.A. Capable of providing and initiating leadership in the event of emergency. Seven years of office management experience. Previous confidential secretarial experience gained in a university or college. Fluency in a foreign language.
