Order Fulfillment Specialist

Location: Indianapolis, IN

Work Type: Full-Time

Shift: Monday-Friday

Department: Order Fulfillment

Reports To: Warehousing & Data Manager

Classification: Non-Exempt

The Order Fulfillment Specialist serves as a primary point of contact between Bar Keeper’s Friend and its customers. This position is responsible for processing customer orders, managing Electronic Data Interchange (EDI) transactions, maintaining accurate documentation, coordinating fulfillment activities, and supporting daily order processing operations. The Order Fulfillment Specialist works closely with sales, shipping, warehouse, and finance teams to ensure orders are processed accurately, shipped on time, and invoiced correctly.

This role requires strong attention to detail, accuracy in data entry, excellent organizational skills, and the ability to manage multiple priorities in a fast-paced environment while maintaining a high level of customer service.

Key ResponsibilitiesOrder Management & Documentation

Process customer orders through Transaction Manager (EDI software) and Sage 100 ERP.

Manage Electronic Data Interchange (EDI) transactions, including purchase orders, invoices, Advanced Shipping Notices (ASNs), and warehouse documentation.

Monitor EDI file transmissions to ensure accurate and timely processing of customer orders.

Perform accurate data entry across multiple order management and accounting systems.

Batch and release orders to ensure shipments are processed and invoiced correctly.

Print customer orders, product labels, shipping labels, and related documentation.

Maintain accurate order records and supporting documentation.

Warehouse & Fulfillment Coordination

Verify product availability and confirm warehouse fulfillment locations.

Coordinate order processing activities with warehouse and shipping teams.

Communicate inventory shortages, fulfillment concerns, or order discrepancies to management.

Monitor order flow to ensure customer deadlines and month-end processing requirements are met.

Confirm completion of orders and batches across all warehouse locations.

Support efficient movement of orders from entry through shipment.

Customer Service & Communication

Serve as a liaison between customers, freight carriers, brokers, sales personnel, and warehouse teams.

Respond to customer inquiries regarding order status, shipping information, product availability, and documentation requests.

Maintain professional communication through phone, email, and other business channels.

Support customer satisfaction by providing timely and accurate information.

Teamwork & Operational Support

Follow written and verbal instructions with accuracy and consistency.

Collaborate with shipping, sales, accounting, and warehouse teams to resolve issues and support business objectives.

Demonstrate strong organizational skills and attention to detail in all assigned tasks.

Prioritize and manage multiple responsibilities while maintaining accuracy and productivity.

Assist with additional administrative and operational support duties as assigned.

Qualifications & Skills

High School Diploma or GED required.

Minimum one year of data entry experience required.

Experience working with EDI transactions preferred; equivalent order processing, logistics, customer service, or administrative experience may be considered.

Experience with ERP, logistics, warehouse, or accounting systems preferred.

Experience with Sage 100 and Transaction Manager preferred.

Ability to pass a computer literacy assessment.

Ability to pass a problem solving test
