Job Title: Reception I
FLSA Status: Non-Exempt

Physicians East, P.A.is a team of skilled healthcare professionals united to meet the challenge of delivering quality, cost-efficient, comprehensive healthcare to the people of Eastern North Carolina.
Location & commitments
FT/PT/Temp/PRN role based at Greenville OB/GYN location, Monday-Friday, 8a.m. - 5 p.m.
Overtime may be required to ensure patients are taken care, tasks are completed, and calls are returned in a timely manner. Weekend work is rare but can occasionally be necessary.
Supervision Received: Reports to the Department Coordinator, Operations Supervisor and Operations Manager.
Supervision Exercised: None.
Typical Physical Demands: Requires sitting for long periods of time. Working in office environment. Some bending and stretching required. Manual dexterity required for use of calculator and computer keyboard.
Typical Working Conditions:
Work is performed in an office environment. This position involves frequent contact with staff, patients, and the public.
About the role
The Reception position oftentimes is the first person with whom a patient or patients family member will interact either upon arrival at the practice or via phone conversations prior to the visit. The Reception staff are responsible for ensuring optimization of the patient visit by positively impacting the patients care through knowledgeable, reliable, and courteous interactions. Further, the Reception staff ensures the accuracy of the patient's demographic and insurance information. The Reception staff works closely with all care team members and is responsible for performing a variety of office functions including answering incoming phone calls; scheduling appointments; greeting patients and family members; and collecting co-payments. High School diploma required. One or more years of secretarial/medical assistant experience.
Responsibilities

  • Practice exceptional customer service, greeting every patient and calling them forward at earliest ability to check in
  • Effective communicate between administrative team, clinical staff, insurance staff, lab and diagnostic staff, patient assistant team, security staff, and providers
  • Provide and explain required forms and paperwork required at check in
  • Verify active insurance, in/out of network eligibility, and authorizations
  • Collect copays, coinsurance, and outstanding balances
  • Adhere to and explain financial policy to patients as needed
  • Coordinate multiple areas and resources to resolve scheduling, insurance, and clinical conflicts
  • Take initiative in learning new tasks, processes, and software/systems
  • Ongoing growth in knowledge of company policies and procedures
  • Commitment to adherence to safety practices and policies
  • Alignment with company mission and dedication to reflect in daily efforts
  • Strong communication skills to direct feedback including patient complaints to Patient Liaison, Operations Manager, Operations Supervisors, and team members
  • Carefully verify, enter, and update patient demographic information.
  • Responsible for individual till including cash, checks and credit cards and balancing funds with encounter tickets and transactions entered.
  • Schedule, coordinate, cancel, and reschedule patient appointments.
  • Document detailed information for clinical staff follow up in AthenaFlow.
  • Tactfully connect patients with delinquent accounts to patient representatives to set up financial agreements and answer billing questions.
  • Able to begin each day at 7:30am and end at 6:00pm. Some late nights are required.
  • Adaptable to additional administrative needs and willingness to assist in any needed tasks/orientation in any area.

Candidate requirements
Responsible for greeting, welcoming and assisting patients, securing accurate and up to date patient information, collecting patient balances and copayments at the time of service, ensuring prompt service at the point of check in/out, and promoting positive workplace with other departments within Physicians East.
High School diploma required. One or more years of secretarial/medical assistant experience. Associates Degree preferred.
