Front Desk Receptionist / People Operations Coordinator

In-Office / Corporate Office

About the Role

Butterfly Effects is hiring a Front Desk Receptionist to serve as the first point of contact for our corporate office while providing administrative support to the Human Resources team.

The person in this role sets the tone for every visitor, vendor, and applicant who walks through the door, while keeping confidential employee data secure and HR processes such as reimbursements, employment verifications, and record updates moving without delay. There is the potential for growth in this role as well.

This position is based in our Deerfield Beach, Florida corporate office.

What You Will Do
  • Greet clients, vendors, and applicants with a professional demeanor.
  • Answer, screen, and route multi-line phone calls and direct inquiries.
  • Sort and distribute incoming mail and packages.
  • Keep the reception space and shared meeting rooms clean and orderly.
  • Order and track office and breakroom supply inventory.
  • Oversee the reimbursement process in partnership with Accounts Payable.
  • Manage the Verifications of Employment process, by phone and by letter.
  • Assist with Corporate Employee Engagement activities.
  • Update employee records as needed.

  • The reception area and shared spaces stay organized without anyone having to ask.
  • Reimbursement and employment verification requests move on time, with no rework.

What You Bring
  • High School Diploma required; Associate's or Bachelor's degree preferred.
  • 1 to 3 years of administrative, clerical, or customer service experience.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable learning new HRIS software.
  • Strong communication skills, high attention to detail, and strict discretion with confidential information.
