Job description

Position Summary

St. David’s School seeks a joyful, highly organized, relationship-oriented professional to serve as the Advancement Events and Engagement Manager. This position is responsible for planning and executing Advancement events, managing the school’s, coordinating engagement opportunities that strengthen relationships with parents, grandparents, alumni, donors, volunteers, and community partners, and working on special projects.

The person serves as a key project manager within the Advancement Office, ensuring exceptional constituent experiences that support the mission and philanthropic priorities of St. David’s. The ideal candidate is a collaborative, detail-oriented professional who enjoys bringing people together, managing complex projects, and creating experiences that deepen engagement with the school.

Essential Responsibilities

Advancement Events

  • Lead the planning, coordination, and execution of Advancement Office events.
  • Develop and manage event timelines, budgets, logistics, vendor relationships, and event communications.
  • Coordinate invitations, registrations, event materials, volunteer assignments, and guest experiences.
  • Manage on-site event execution and post-event evaluation.
  • Ensure events reflect the mission, values, and culture of St. David’s School.
  • Identify opportunities to enhance constituent engagement through events and experiences.

Events may include:

  • New Parent Events (200 in attendance)
  • Grandparents & Great Friends Day (600 in attendance)
  • Veteran’s Day
  • Grandparent Coffee
  • Alpha Breakfast
  • Alpha Omega Luncheon
  • Donor Stewardship Gatherings (150 in attendance)
  • Corporate Partner Recognition Events
  • Special Advancement Initiatives

Volunteer Engagement

  • Coordinate volunteer support for Advancement events and initiatives.
  • Partner with Advancement colleagues to create meaningful opportunities for constituent involvement.
  • Foster positive relationships with volunteers, parents, grandparents, alumni, and community partners.
  • Support our parent organization, Friends.

Project Management & Collaboration

  • Serve as project manager for assigned Advancement initiatives.
  • Maintain detailed project plans, timelines, budgets, and documentation.
  • Collaborate closely with colleagues across the Advancement Office and school community.
  • Support stewardship, communications, and engagement efforts related to Advancement priorities.

Qualifications

  • Bachelor’s degree required.
  • Three to five years of experience in event management, advancement, fundraising, nonprofit management, hospitality, marketing, or a related field preferred.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office and constituent management or event registration software. Veracross experience preferred.
  • Exceptional organizational and project management skills.
  • Strong interpersonal and relationship-building abilities.
  • Ability to manage multiple projects simultaneously while maintaining a high level of attention to detail.
  • Ability to work occasionally in the evenings and weekends.
