Job description

Job Description This position is one of two Events Planners responsible for the overall production, execution and safety of events at the Red Hat Amphitheater (RHA), our outside venue in downtown Raleigh with a 6,000-seat capacity. Its concerts and major productions help bring national prominence to Raleigh. This position plays a critical role in coordinating and carrying out productions at the RHA, including event logistics and onsite oversight of setup and operations.

The position is responsible for overseeing event preparation and organization and manages event budgets and charges under the supervision of the Amphitheater and Special Events Manager. Work Schedule: During the concert season, the incumbent's schedule will be determined by the concert schedule, which will include nights, weekends and holidays, as needed. Outside of the concert season, this position works during standard office hours between Monday and Friday that are subject to change based on the events schedule and on-site coverage requirements, including early mornings, late nights, weekends and holidays, as needed.

Duties and Responsibilities The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by employees in this job. Plans, coordinates and oversees event logistics; contacts, books, and/or prepares scheduling of staff and event help, equipment and materials; monitors and adjusts event logistics schedules as required. Meets with clients to review and obtain event requirements including equipment, support staff, scheduling, production, security needs, and utility requirements. Provides oversight of the venue's event setup, staff and contracted labor, facilities operations and equipment setup and removal.

Monitors event operations for compliance with policies, procedures and applicable regulations. Ensure facility operations and equipment usage adhere to City and facility policies, procedures and regulations and proactively addresses issues prior to the event. Addresses complaints and resolves problems while remaining calm under pressure and maintaining exemplary customer service and professionalism.

Assists with contract processes related to pricing, contract language and deadlines, and with facility management and capital and maintenance plans. Identifies technical, budgetary and time-related challenges and proposes solutions. Researches and implements industry trends, solutions, and best practices.

Typical Qualifications Required Education and Experience: Associate's Degree in Technical Theatre Production, Recreation, Public Administration, Event Management, or related field; 1 to 3 years' experience in technical theatre production, recreation, event management, or related field OR Any equivalent combination of training and/or experience that provides the required knowledge, skills and abilities may be substituted.
