Job Description
We are seeking an experienced Event Planning Manager to join our dynamic team. The ideal candidate will have strong experience in live event operations, budgeting, vendor management, and onsite execution, and a proven ability to deliver seamless programs that drive attendee engagement and measurable outcomes.
Responsibilities:
Plan and execute logistics for live events including Symposia, Advisory Boards, Steering Committee Meetings, and Masterclasses, covering venue and vendor sourcing, contracts, F&B, room blocks, onsite staffing, event flow, audiovisual, furniture, and materials coordination.
Manage event budgets with accurate forecasting, tracking, and reporting of cost savings across assigned programs.
Collaborate with Financial Operations to process payments and complete reconciliations for live events.
Oversee shipping logistics, manage event materials, and track inventory in partnership with the Event Management team.
Partner with Program Management and Audience Engagement to develop onsite marketing tactics that drive attendance.
Assist with training and onboarding of freelance and Associate Event Management staff on live event processes and standards.
Identify and recommend improvements to internal processes and onsite attendee experiences.
Participate in training opportunities as directed by management.
Required Skills & Qualifications:
Bachelorโs degree preferred. CMP certification a plus.
Minimum 5 years of experience in conference or event planning, preferably within healthcare.
Proven success planning events for 25 to 500 attendees.
Expert proficiency in Microsoft Excel and strong skills across Microsoft Office.
Working knowledge of Google Workspace applications including Gmail, Sheets, Docs, and Forms.
Strong attention to detail with the ability to prioritize and manage multiple projects with sound organization.
Effective written and verbal communication skills with experience engaging internal teams, vendors, and clients.
Demonstrated ability to work independently and within dynamic, cross-functional teams.
Customer-focused problem solver with proactive approach and relationship-building skills.
Knowledge of Workfront preferred.
Ability to travel up to 40 percent and work nights and weekends. International travel may be required.
Ability to lift up to 50 pounds for materials preparation and onsite execution.
Preferred Skills:
Experience in healthcare education events or life sciences meetings.
Familiarity with onsite attendee engagement tactics and event marketing.
