Job Summary

Centex Restoration is seeking a highly organized, detail‑driven Mitigation Coordinator to support our Houston mitigation operations. This role is essential to keeping our field teams scheduled, our jobs properly created and documented, and our customers informed throughout the mitigation process. Position Overview

The Mitigation Coordinator handles daily scheduling, job creation, intake management, FSM case creation, customer communication, and supports billing and payroll accuracy. This role works directly with the Director of Mitigation and ensures smooth field operations and timely job completion.

Job Type: Full-Time

FLSA Status: Exempt

Work Location: Tomball/Waller, Texas

Core Responsibilities

1. Daily Scheduling & Communication

  • Send out all mitigation team schedules every evening for the following day.
  • Communicate updates, changes, and confirmations promptly to technicians and management.

2. Workforce Utilization & Marketing Route Assignment

  • Assign unbooked mitigation teams to marketing routes when not on active jobs.
  • No marketing routes assigned from the 1st–4th of each month.
  • Track route completions in Microsoft Teams and provide updates once reports are shared.

3. Job Creation & Intake Management

  • Create all new mitigation jobs immediately upon receiving information.
  • Request missing details from clients, estimators, or technicians to ensure complete job setup.
  • Maintain organized logs to ensure no job is left uncreated or unassigned.

4. FSM Case Creation

  • Create FSM (Field Service Management) cases for all new mitigation projects.
  • Ensure cases are properly categorized, assigned, and linked to the correct job files.

5. Assist with Billing Preparation & Submission

  • Collect and organize all required paperwork once mitigation jobs are completed.
  • Submit completed job packets to Billing promptly.
  • Aim to bill the day after completion, unless waiting on estimate approvals.

6. Homeowner Communication for New Assignments

  • Contact homeowners immediately when assignments come through Contractors Connection or Sedgwick.
  • Follow up as needed to schedule initial services and gather intake information.
  • Document all communication and enter accurate claim details, dates, and notes into XactAnalysis.

7. Payroll, Budget, & Cost Management for WIP Jobs

  • Create weekly payroll sheets and ensure accuracy of labor and charge placement.
  • Monitor budgets and costs for all Work‑In‑Progress mitigation jobs.
  • Track labor, equipment, materials, and subcontractor expenses.
  • Flag variances or overages early and communicate them to the Director of Mitigation.

8. Assist with Customer Report Distribution

  • Share completed mitigation reports with customers.
  • Ensure accuracy, professionalism, and timely delivery.
  • Typically distribute 4–5 reports per day, depending on volume.

9. Special Requirements (Weekend & After‑Hours Expectations)

  • Must be available to work weekends; mitigation teams operate on Saturdays.
  • Expected to monitor your phone after hours, especially on weekends, for schedule updates or urgent changes.
  • Required to review job updates every Sunday to prepare accurate Monday schedules.
  • Work closely with the Director of Mitigation to coordinate new losses and update schedules.
  • Must respond promptly to operational changes to ensure teams are properly assigned and ready for deployment.

10. Spanish Language Preferred but not required

Working Conditions and Physical Requirements

This role is located in our Tomball/Waller office. The position requires managing stressful situations, evening and early morning work, with occasional long or weekend hours during disasters.
