This position is much more than a traditional receptionist role. As the first point of contact for our patients, you will be responsible for creating an outstanding first impression, building long-term relationships, educating patients on our services, and driving membership and treatment sales.
Responsibilities
- Welcome patients and provide exceptional customer service
- Answer incoming calls and respond to patient inquiries
- Schedule, confirm, and manage appointments
- Follow up with patients regarding consultations, treatments, and ongoing care plans
- Educate patients on available services, products, and membership options
- Promote and sell memberships, treatment packages, and services
- Identify opportunities to upsell and maximize patient value
- Build strong relationships with patients and create loyalty to our practice
- Process payments and maintain accurate patient records
- Provide customer service support for our online store
- Create and manage customer orders through WooCommerce
- Assist with day-to-day front office operations
- Handle patient concerns professionally and effectively
- Work closely with providers and management to achieve company goals
- Maintain a clean, organized, and professional front office environment
- Keep the reception area, retail displays, and common workspaces clean, tidy, and presentable at all times
Qualifications
- Previous experience working in a medical spa, aesthetic practice, cosmetic surgery office, wellness clinic, or similar healthcare setting is required
- Proven sales experience with a track record of meeting or exceeding goals
- Strong upselling and relationship-building skills
- Excellent customer service and communication skills
- Professional phone etiquette
- Experience with WooCommerce or other e-commerce platforms is a plus
- Ability to multitask in a fast-paced environment
- Comfortable discussing treatment plans, memberships, and pricing with patients
- Strong problem-solving and critical-thinking abilities
- Ability to take direction well and execute tasks efficiently
