This position is much more than a traditional receptionist role. As the first point of contact for our patients, you will be responsible for creating an outstanding first impression, building long-term relationships, educating patients on our services, and driving membership and treatment sales.

Responsibilities

  • Welcome patients and provide exceptional customer service
  • Answer incoming calls and respond to patient inquiries
  • Schedule, confirm, and manage appointments
  • Follow up with patients regarding consultations, treatments, and ongoing care plans
  • Educate patients on available services, products, and membership options
  • Promote and sell memberships, treatment packages, and services
  • Identify opportunities to upsell and maximize patient value
  • Build strong relationships with patients and create loyalty to our practice
  • Process payments and maintain accurate patient records
  • Provide customer service support for our online store
  • Create and manage customer orders through WooCommerce
  • Assist with day-to-day front office operations
  • Handle patient concerns professionally and effectively
  • Work closely with providers and management to achieve company goals
  • Maintain a clean, organized, and professional front office environment
  • Keep the reception area, retail displays, and common workspaces clean, tidy, and presentable at all times

Qualifications

  • Previous experience working in a medical spa, aesthetic practice, cosmetic surgery office, wellness clinic, or similar healthcare setting is required
  • Proven sales experience with a track record of meeting or exceeding goals
  • Strong upselling and relationship-building skills
  • Excellent customer service and communication skills
  • Professional phone etiquette
  • Experience with WooCommerce or other e-commerce platforms is a plus
  • Ability to multitask in a fast-paced environment
  • Comfortable discussing treatment plans, memberships, and pricing with patients
  • Strong problem-solving and critical-thinking abilities
  • Ability to take direction well and execute tasks efficiently
