Job description

We are seeking a highly organized and detail-oriented Office Manager / Bookkeeper to oversee daily office operations while managing the company's financial records. The ideal candidate will have strong administrative, accounting, and professional communication skills and must be proficient in QuickBooks Online.

Key Responsibilities

Office Management

  • Manage day-to-day office operations and administrative functions.
  • Answer phones, respond to emails, and greet clients and vendors.
  • Maintain office supplies and coordinate equipment maintenance.
  • Organize and maintain physical and digital filing systems.
  • Schedule meetings, appointments, and coordinate calendars.
  • Assist with human resources administration, including employee paperwork and onboarding support.

Bookkeeping & Accounting

  • Maintain accurate financial records using QuickBooks Online.
  • Record daily financial transactions, including accounts payable and accounts receivable.
  • Reconcile bank and credit card accounts.
  • Prepare invoices and follow up on outstanding payments.
  • Process vendor payments and maintain vendor records.
  • Assist with payroll processing and payroll reporting.
  • Generate monthly financial reports, including profit and loss statements and balance sheets.
  • Prepare documentation for accountants during month-end and year-end closing.
  • Ensure compliance with company policies and accounting procedures.

Qualifications

  • Minimum of 5 years of experience in office management, bookkeeping, or a similar role.
