We’re seeking an Accounting Operations Specialist to help manage the financial processes that support project execution and day-to-day business operations.

Responsibilities

  • Receive, review and validate customer purchase orders and establish new jobs/projects within CRM, accounting, and reporting systems.
  • Generate customer invoices in accordance with contract terms, including milestone and progress billing, while ensuring timely and accurate invoicing.
  • Process and reconcile corporate credit card transactions, prepare accounts payable coding, and maintain supporting expense documentation.
  • Provide administrative support for payroll processes, reporting, and related recordkeeping.
  • Prepare job-costing, commission, and other operational reports to support financial review and decision-making.
  • Assist with monthly close activities, sales tax reporting packages, and audit/compliance documentation.
  • Maintain accurate and consistent data across QuickBooks Online, CRM, payroll, and reporting systems.
  • Identify discrepancies, resolve routine issues, and recommend process improvements to enhance efficiency and accuracy.
  • Collaborate with accounting, operations, and department leads to ensure the smooth execution of financial and administrative processes.

Qualifications

  • Associate degree in Accounting, Business Administration, or a related field preferred.
  • 5+ years of accounting, bookkeeping, or finance operations experience.
  • Strong experience with QuickBooks Online.
  • Experience working with CRM systems; job costing experience is a plus.
  • Strong attention to detail, organization, and process discipline.
  • Comfortable working across multiple systems and managing competing priorities.
  • Strong communication, problem-solving, and follow-through skills.
