Warehouse and Distribution Coordinator
Job Description
Position Summary
The Warehouse & Receiving Coordinator is responsible for coordinating daily warehouse and receiving activities to ensure the accurate, safe, and efficient flow of materials throughout the facility. This position serves as a key link between Receiving, Inventory, Purchasing, Production, Quality, and Logistics.
The ideal candidate is a hands-on, highly organized individual who can effectively balance physical warehouse responsibilities with system transactions, documentation, inventory control, and cross-functional communication. This position requires strong attention to detail, a sense of urgency, and the ability to identify and resolve issues before they disrupt operations.
Essential Duties & Responsibilities
Receiving & Incoming Material
  • Coordinate and process all incoming material and deliveries.
  • Unload trucks and safely move materials using forklifts and other material-handling equipment.
  • Verify incoming shipments against purchase orders, packing slips, and other receiving documentation.
  • Inspect shipments for visible damage, shortages, overages, or incorrect material.
  • Accurately complete receiving transactions within the ERP system.
  • Properly identify, label, and route received material to the appropriate warehouse, inspection, production, or staging location.
  • Coordinate with Quality when material requires incoming inspection or additional review.
  • Communicate receiving discrepancies promptly to Purchasing, Quality, Logistics, and other appropriate departments.
  • Maintain organized receiving and staging areas and prevent material from remaining unidentified or unprocessed.

Warehouse & Material Control
  • Maintain accurate inventory locations and ensure material is properly identified and stored.
  • Pick, stage, and deliver materials required for production, assembly, customer orders, and other operational needs.
  • Perform material movements and system transactions accurately and in a timely manner.
  • Support cycle counting and physical inventory activities.
  • Research and assist in resolving inventory discrepancies.
  • Monitor warehouse locations for incorrect, unidentified, damaged, or misplaced inventory.
  • Maintain FIFO or other required material-rotation practices where applicable.
  • Assist with Kanban, safety stock, and point-of-use inventory replenishment.
  • Maintain clear aisles, designated storage locations, and an organized warehouse environment.
  • Identify opportunities to improve warehouse space utilization and material flow.

Order Picking, Packaging & Shipping Support
  • Pick material accurately according to sales orders, work orders, transfer requirements, or other documentation.
  • Verify part numbers, quantities, condition, and documentation before material leaves the warehouse.
  • Package and protect parts and equipment appropriately for movement or shipment.
  • Assist with palletizing, wrapping, strapping, labeling, and other packaging requirements.
  • Stage completed orders in designated areas for shipment.
  • Support outbound shipping activities as required.
  • Coordinate closely with Logistics to ensure material is ready when scheduled for shipment.

ERP & Inventory Transactions
  • Accurately complete receiving, inventory movement, picking, staging, and other warehouse transactions within the ERP system.
  • Research transaction discrepancies between physical inventory and system inventory.
  • Maintain accurate material locations and inventory records.
  • Review open receipts, incomplete transactions, and other exceptions requiring follow-up.
  • Ensure warehouse transactions are completed promptly so inventory information remains reliable for Planning, Purchasing, Production, Sales, and Logistics.

Coordination & Communication
  • Serve as a primary point of coordination for warehouse and receiving activities.
  • Communicate material shortages, receiving issues, damaged material, inventory discrepancies, and other concerns promptly.
  • Work cross-functionally with Purchasing, Production, Scheduling, Quality, Customer Service, Sales, and Logistics.
  • Prioritize incoming and outgoing material based on production and customer requirements.
  • Follow up on open issues through resolution rather than simply identifying the problem.
  • Provide clear and professional communication regarding material status and warehouse priorities.
  • Support urgent requests while maintaining accuracy and established processes.

Safety, Quality & Continuous Improvement
  • Follow all company safety procedures and material-handling requirements.
  • Safely operate forklifts, pallet jacks, and other warehouse equipment.
  • Maintain clean, organized, and safe receiving and warehouse areas.
  • Support 5S, Lean Manufacturing, ISO, and continuous-improvement initiatives.
  • Identify opportunities to reduce unnecessary material movement, handling, searching, and processing time.
  • Participate in root-cause analysis and corrective actions related to inventory or warehouse issues.
  • Promote accountability, accuracy, teamwork, and continuous improvement throughout warehouse operations.

Qualifications
Required
  • High school diploma or equivalent.
  • Previous warehouse, receiving, inventory control, logistics, or manufacturing experience.
  • Forklift experience and ability to safely operate material-handling equipment.
  • Experience receiving, picking, packaging, staging, and handling materials.
  • Basic computer skills and experience working within an ERP, inventory, or warehouse-management system.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and commitment to inventory accuracy.
  • Strong verbal and written communication skills.
  • Ability to prioritize multiple responsibilities in a fast-paced manufacturing environment.
  • Ability to work independently while effectively supporting a cross-functional team.
  • Demonstrated ability to identify problems, research discrepancies, and follow issues through resolution.

Preferred
  • 2-5 years of warehouse, receiving, logistics, or inventory-control experience in a manufacturing environment.
  • Experience with QAD, SAP, or a similar ERP system.
  • Experience with cycle counting and inventory reconciliation.
  • Experience working within an ISO-certified manufacturing environment.
  • Familiarity with Lean Manufacturing and 5S principles.
  • Experience handling both small parts and larger industrial components or equipment.
