Job Title: Facilities Assistant

Job Description

The Facilities Assistant provides hands-on daily support for warehouse operations by maintaining an organized, efficient, and safe environment. This role manages inventory, oversees inbound and outbound shipments, coordinates workspace organization, and performs operational and administrative tasks to ensure smooth day-to-day functionality across the warehouse and facilities.

Responsibilities

  • Provide daily hands-on support for warehouse operations to ensure a safe, efficient, and well-maintained environment.
  • Receive and inspect incoming shipments by unloading deliveries, verifying contents, and checking for damages or discrepancies.
  • Match received goods against purchase orders and promptly report any issues or mismatches.
  • Accurately label, store, and organize items in designated locations within the warehouse.
  • Maintain organized and up-to-date inventory records using inventory systems, spreadsheets, and warehouse management tools.
  • Assist with periodic cycle counts and full inventory audits to ensure accurate stock levels.
  • Prepare items for shipment by picking, labeling, packaging, and staging outbound orders.
  • Verify the accuracy of outgoing shipments and ensure documentation is complete and correct.
  • Coordinate shipping activities with procurement and logistics teams and complete all required shipping documentation.
  • Keep storage areas, warehouse floors, and workstations clean, organized, and free of hazards.
  • Re-stock shelves, tidy workstations, and maintain clear, safe aisles throughout the warehouse.
  • Assist with reorganizing and optimizing storage layouts to improve efficiency and space utilization.
  • Safely operate warehouse equipment such as electric forklifts, pallet jacks, and related material handling tools.
  • Perform basic equipment checks and maintenance and promptly report malfunctions or safety concerns.
  • Scan and file shipping labels, packing slips, and receipts to maintain accurate documentation.
  • Update tracking spreadsheets, inventory systems, and related records regularly using Excel and other tools.
  • Communicate inventory discrepancies, logistical issues, or operational concerns to facilities and procurement stakeholders.
  • Support general facilities operations, including moving supplies, setting up rooms, and performing light maintenance tasks.
  • Monitor and help maintain supply levels for the warehouse and common areas, initiating replenishment when needed.
  • Work independently or with a small team while maintaining accountability for completing tasks accurately and on time.

Work Environment

This role is based in a warehouse environment and follows a standard schedule of 9:00 a.m. to 5:00 p.m., Monday through Friday. You will work around storage racks, loading areas, and common spaces that require consistent organization and housekeeping to maintain a safe, hazard-free workspace. The position involves regular use of material handling equipment, including an electric forklift with a load capacity of approximately 10,000 pounds and a 24-inch load center, as well as pallet jacks and related tools. A significant portion of the role involves computer-based administrative work, including frequent use of Excel, Outlook, inventory control systems, warehouse management systems, and potentially SAP. The environment combines physical activity such as lifting, moving materials, and operating equipment with desk-based tasks like documentation, tracking, and communication with other departments.

Pay and Benefits

The pay range for this position is $23.00 - $23.00/hr.
