Vms Manager information

What is a VMS manager?

VMS Managers are professionals responsible for overseeing and administering Vendor Management Systems (VMS) within an organization. They manage relationships with staffing agencies and vendors, ensure compliance with procurement policies, and optimize the process of sourcing contingent labor. Their role often includes data analysis, reporting, and workflow improvements to maximize efficiency and cost savings. VMS Managers play a key role in ensuring the organization gets the best value and talent from its external workforce.

What are some common challenges faced by a VMS manager when implementing new vendor management system features across an organization?

A VMS Manager often encounters challenges such as ensuring user adoption of new features, managing data integration across multiple platforms, and coordinating with both internal departments and external vendors. Training staff on updated processes and troubleshooting technical issues are also frequent hurdles. Success in this role requires strong communication skills and the ability to collaborate closely with IT, procurement, and vendor partners to ensure smooth transitions and system optimization.

What are the key skills and qualifications needed to thrive as a VMS manager, and why are they important?

To thrive as a VMS (Vendor Management System) Manager, you need expertise in vendor management, procurement processes, and data analysis, typically supported by a degree in business or supply chain management. Familiarity with VMS platforms (such as SAP Fieldglass or Beeline), contract management tools, and relevant certifications like Certified Professional in Supply Management (CPSM) are commonly required. Strong negotiation, communication, and organizational skills are crucial for building vendor relationships and ensuring compliance. These competencies are essential for optimizing vendor performance, controlling costs, and maintaining smooth operations within the organization.

Job description

About the Company

At Flow, weโ€™re reimagining what it means to live, work, and connect. More than just a real estate company, Flow is a brand, a technology platform, and an operations ecosystem spanning condominiums, hotels, multifamily residences, and office spaces. Weโ€™re building a new kind of living experience: one thatโ€™s flexible, connected, and designed to create genuine community and real value for the people who call Flow home.

Our mission is oneness: prioritizing our residents and their experiences, and fostering connection with ourselves, their neighbors, and the natural world. By putting people at the center of everything we do, weโ€™re creating vibrant, human-centered communities where life, work, creativity, and play all come together in one place.

About the Role

Flow is seeking an experienced Property IT Manager to own the systems configuration, platformintegration, and commissioning layer across its growing residential and hospitality property portfolio. This is a multi-property, field-forward role -- not a single-site IT operations position. The Property ITManager moves across all Flow properties configuring platforms, integrating systems, validatingperformance, and ensuring every technology layer at a Flow property functions as intended.

This role works closely and continuously with the Sr. IT Field Technician โ€” together they cover the full scope of propertytechnology at Flow. While the Sr. IT Field Technician focuses on the physical layer (cabling, hardware installation, and low-voltage infrastructure), this role focuses on making those systems work: programming, configuration, integration, and ongoingplatform support. The two roles are deeply interdependent and will be on-site together across deployments, troubleshooting, and new property buildouts. Both report directly to the Head of IT.

This is a senior individual contributor role requiring deep platform expertise, strong independent judgment, and the ability tomanage multiple active projects across a growing property portfolio with minimal supervision.

Responsibilities Video Management & Surveillance Systems
  • Work alongside the Sr. IT Field Technician on camera deployments โ€” while they handle mounting and cabling, configure the VMS, program recording schedules, motion detection rules, and alert configurations
  • Map and name all cameras within the VMS following Flow's naming conventions; maintain accurate camera inventories across the portfolio
  • Integrate VMS with access control platforms where applicable โ€” door event triggers, alarm linkages, and unified monitoring views
  • Commission newly deployed camera systems jointly with the Sr. IT Field Technician โ€” validate connectivity, image quality, recording function, and coverage against site specifications
  • Diagnose and resolve VMS software issues, stream failures, and recording gaps; loop in the Sr. IT Field Technician on any hardware-layer faults identified during troubleshooting
Access Control Systems Configuration
  • Configure and administer electronic access control platforms across all properties โ€” access groups, time zones, door schedules, and credential assignments; coordinate with the Sr. IT Field Technician on concurrent hardware work at the same sites
  • Manage credential lifecycle across the portfolio โ€” issuance, modification, suspension, and removal for residents, staff, and vendors
  • Program and commission intercom and visitor management systems โ€” tenant directory configuration, video intercom setup, and remote access provisioning
  • Configure integrations between access control platforms and property management systems โ€” automated credential sync,move-in/move-out workflows, and visitor management
  • Diagnose and resolve access control software issues and credential conflicts; engage the Sr. IT Field Technician on door hardware or wiring faults
  • Conduct periodic access audits across the portfolio โ€” identify orphaned credentials, expired access groups, and policy violations; remediate and report to the Head of IT
Network Systems Configuration & Administration
  • Configure network infrastructure following architecture and standards set by the Head of IT โ€” VLAN assignments, SSID configurations, firewall rules, and wireless radio settings; work alongside the Sr. IT Field Technician who handles physical switching and AP installation at the same properties
  • Administer the enterprise wireless management platform across all properties โ€” AP provisioning, network templates, client monitoring, and performance optimization
  • Configure and maintain network segmentation โ€” ensuring cameras, access control, AV, guest, staff, and management networks are properly isolated per Flow's standards
  • Diagnose and resolve network configuration issues and connectivity failures; elevate physical layer issues to the Sr. IT Field Technician
  • Maintain accurate network documentation for all properties โ€” logical diagrams, VLAN maps, IP allocations, and device inventories
AV Systems Configuration & Support
  • Configure and commission AV systems at properties where the Sr. IT Field Technician has completed hardware installation zone programming, volume levels, source routing, and scheduling
  • Set up and manage commercial music streaming platform accounts โ€” zone creation, content scheduling, playlist assignment, and license management across all properties
  • Configure and maintain digital signage platforms โ€” content management, display scheduling, and device administration across all property screens
  • Set up and support conference room and meeting space technology โ€” room system configuration, calendar integration, and display settings
  • Diagnose and resolve AV software and configuration issues; coordinate with the Sr. IT Field Technician on hardware-related faults
Hospitality & Property Management Technology
  • Administer and support property management system platforms at applicable hospitality properties โ€” user account management, system configuration, and day-to-day operational support for property staff
  • Configure and maintain integrations between the PMS and other property systems โ€” access control credential sync, guest experience platform connections, and reporting integrations
  • Deploy and configure guest experience platforms โ€” onboarding setup, workflow configuration, staff training, and integration validation
  • Support elevator and building automation system integrations โ€” manage API connectivity, validate access control handoffs, and coordinate with vendors on software-level issues
  • Serve as the primary IT systems resource for property operations staff โ€” resolving hospitality platform issues, training new staff on systems, and escalating to the Head of IT when needed
  • Stay current on hospitality technology developments relevant to Flow's portfolio; surface operational issues and improvement opportunities to the Head of IT
New Property Deployment & Takeovers
  • Work closely with the Sr. IT Field Technician across all new property deployments โ€” while they lead physical infrastructure buildout, drive systems configuration, platform setup, and integration work in parallel
  • Conduct systems-layer due diligence at new properties โ€” audit existing platform configurations, document software versions and licensing, and identify gaps against Flow's standard
  • Ensure all platforms are fully configured, integrated, and validated before any new property goes live; coordinate directly with the Sr. IT Field Technician to align timing across physical and systems workstreams
  • Produce complete systems documentation at go-live โ€” platform configurations, integration maps, credential structures, and user access inventories for every new property
Endpoint & Identity Systemsโ€” Property Staff
  • Manage device enrollment and MDM policy application for property staff endpoints โ€” ensuring all devices meet Flow's configuration baseline at onboarding
  • Administer Google Workspace accounts for property staff โ€” provisioning, group membership, and access revocation in coordination with HR and the Head of IT
  • Support property staff onboarding from a systems perspective โ€” account setup, device configuration, and system orientation on their first day
  • Resolve property staff IT support issues beyond Tier 1; loop in the Sr. IT Field Technician on hardware issues and elevate systems-level issues to the Head of IT as needed
Documentation & Ticketing
  • Maintain thorough systems documentation for all properties โ€” VMS configurations, access control group structures, network logical diagrams, AV zone maps, and platform integration records
  • Log and resolve support tickets via the IT help desk platform within SLA; document all resolutions clearly for the knowledge base
  • Track active systems projects in the IT project management platform; provide timely and accurate status updates to the Head of IT
Required Qualifications
  • 6+ years of experience in property technology, hospitality IT, or multi-site IT or systems administration โ€” with a strong focus on platform configuration and systems integration
  • Hands-on experience configuring and administering enterprise video management systems โ€” camera programming, user access management, recording configuration, and cross-system integration
  • Access control platform administration โ€” credential lifecycle management, access group configuration, door scheduling, and audit reporting at scale
  • Network configuration experience โ€” VLAN assignments, SSID management, firewall rules, and multi-site wireless platform administration
  • Experience configuring and supporting intercom and visitor management systems โ€” tenant directory management and PMS integration
  • AV platform configuration โ€” commercial audio zone programming, digital signage content management, and conference room system setup
  • Experience administering hospitality or property management platforms โ€” PMS configuration, staff training, and integration support
  • Google Workspace administration โ€” account provisioning, group management, and device policy
  • MDM platform experience โ€” device enrollment, policy management, and compliance across Mac and Windows endpoints
  • Comfortable working closely with a field counterpart across simultaneous physical and systems workstreams at active properties
  • Ability to manage multiple concurrent projects across several active properties independently
  • Strong documentation habits โ€” ability to produce clear, accurate technical records for complex multi-system environments
Preferred Qualifications
  • Enterprise VMS administration at scale โ€” multi-server environments, analytics configuration, and access control integration
  • Access control integration with PMS platforms โ€” automated credential sync and move-in/move-out workflow configurationโ€”
  • Guest experience platform deployment and integration โ€” PMS connectivity and property staff onboarding
  • Multi-site enterprise wireless platform administration โ€” network template management and portfolio-wide configuration standardization
  • Identity-based wireless authentication โ€” RADIUS integration and device trust policy configuration
  • Experience supporting elevator or building automation system integrations โ€” API configuration and vendor coordination
  • ITSM platform administration โ€” help desk configuration, SLA management, and knowledge base development
  • CompTIA Network+, CCNA, or equivalent networking certification
  • Bilingual English/Spanish
What Success Looks Like
  • Every system at every Flow property is correctly configured, integrated, and performing to spec โ€” cameras recording, doors responding, networks segmented, and AV running
  • New properties reach go-live with all platforms commissioned, all integrations validated, and complete systems documentation in place
  • The Sr. IT Field Technician and Lead IT Engineer operate as a cohesive unit โ€” physical and systems work move together efficiently across every property initiative
  • Hospitality platforms at applicable properties are well-administered, staff are trained and confident, and the guest experience technology runs without friction
  • Access control across the portfolio is clean โ€” no orphaned credentials, no misconfigured zones, and audit findings are actioned promptly
  • Property operations staff have a reliable systems resource they can count on โ€” issues are resolved quickly and documented thoroughly
  • The Head of IT has full confidence that the systems layer across the portfolio is being maintained to standard
