Position Summary

The Sales & Logistics Specialist is responsible for managing the day-to-day sales order processing, logistics coordination, inventory administration, pricing, and operational support for a wine importing organization. This role serves as a key liaison between internal departments, suppliers, distributors, third-party logistics providers (3PLs), carriers, and customers to ensure orders are processed accurately, shipments move efficiently, and operational information is maintained in Business Central.

Key ResponsibilitiesSales Order Management & Customer Service
  • Process and enter all sales and operational orders, including wholesale, sample, employee, stock replenishment, distributor DI, transfer, and inbound warehouse orders.
  • Complete daily invoicing and ensure all orders are accurately fulfilled and documented.
  • Attach required supporting documentation to orders and maintain accurate order records.
  • Fulfill and coordinate orders through Ryder and other 3PL partners.
  • Process distributor transfers and troubleshoot shipping discrepancies, mis-shipments, and order issues.
  • Communicate daily with distributors regarding purchase order changes, order status, shipping requirements, and other operational needs.
  • Manage customer and distributor allocations and ensure orders are released.
Pricing & Business Central Administration
  • Enter and maintain all price lists in Microsoft Dynamics 365 Business Central.
  • Maintain item notes and other product-specific data within Business Central.
  • Support Business Central development initiatives through system testing, process improvements, and project leadership.
  • Identify system and process improvements that increase operational efficiency and data accuracy.
Logistics & Supplier Coordination
  • Coordinate daily with 3PLs, carriers, suppliers, distributors, and internal departments to ensure timely and accurate order fulfillment.
  • Request product labels from suppliers for new items and vintage transitions.
  • Provide required codes and documentation for WWS inbound shipments.
  • Request and review ETS reports and other logistics documentation.
  • Coordinate prepayment requirements for designated supplier orders.
  • Support export orders by coordinating special labeling projects and completing required export documentation and forms.
Inventory Management
  • Monitor and maintain inventory levels across warehouses and distribution channels.
  • Support inventory planning, replenishment, transfers, and product availability.
  • Conduct monthly inventory reconciliations, including posting journal entry adjustments and item reclassifications.
  • Communicate inventory changes, vintage transitions, and out-of-stock items to internal teams.
  • Maintain accurate inventory records and investigate discrepancies as needed.
Financial & Administrative Support
  • Issue sales credit memos, sales invoices, purchase credit memos, billbacks, and other financial documents.
  • Run purchasing and inventory reports to support the Marketing and other internal departments.
  • Gather and organize supporting documentation for annual audits.
  • Maintain accurate records and documentation related to sales, purchasing, inventory, and logistics activities.
Process Improvement & Documentation
  • Create, maintain, and improve Standard Operating Procedures (SOPs) for sales, logistics, inventory, and operational processes.
  • Complete and track assigned projects and operational tasks through Monday.com.
  • Identify opportunities to streamline workflows, improve data accuracy, and increase visibility across departments.
  • Support cross-functional projects and system enhancements from implementation through testing and execution.
Key Qualifications
  • Experience in wine, beverage alcohol, importing, distribution, logistics, or a related industry preferred.
  • Strong understanding of sales order processing, inventory management, and logistics operations.
  • Experience working with ERP systems; Microsoft Dynamics 365 Business Central experience strongly preferred.
  • Strong attention to detail and ability to manage high volumes of transactions accurately.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills with the ability to prioritize multiple deadlines.
  • Proficiency with Microsoft Office, Excel, and project/task management systems.
  • Ability to troubleshoot issues independently and work collaboratively across departments.
  • Strong analytical and problem-solving skills.
  • Knowledge of wine industry terminology, vintages, pricing structures, distributors, 3PLs, and import logistics is highly desirable.

Expected salary range is $77K - $85K, plus potential annual discretionary bonus.
