Job description

Clerical Support Services For Clinical Practice

University Health Service (UHS) provides high quality health care services to University of Michigan Students along with some Faculty/Staff. UHS is actively seeking compassionate, enthusiastic and patient-focused individuals who will share in the goal of patients and families first.

To provide all clerical support services for a clinical practice in an ambulatory setting; facilitate the flow of patient activity and medical information in the clinic. As part of our clerical team at University Health Services, you will have the unique opportunity to provide care for U of M students, faculty, and staff. Not only will you have the ability to showcase your skills as a Patient Services Assistant, you will also have an opportunity to build relationships with Physicians and Advanced Practice Providers. You will play an integral role within the University, and specifically within UHS.

Responsibilities*
  • Assist in managing clinician schedules to accommodate the needs of patient population. This often involves coordinating with all clinical staff.
  • Keep aware of the status of patients with special needs so that they may be accommodated appropriately on an emergent basis.
  • Work with the patient billing office in rectifying problems with patient charges and itemized statements.
  • Reschedule patients as needed to accommodate care and staffing needs.
  • Contact patients regarding follow-up care, prescriptions and return visits.
  • Screen patient calls and create MiChart in basket messages for Clinical Staff.
  • Direct patient calls to appropriate areas, e.g. business office, HIM, cashiers, etc.
  • Schedule patient appointments
  • Generate labels (zebra) for all patient care forms; that will be scanned into MiChart.
  • Obtain phone numbers and addresses of patients upon clinician request.
  • Collect payments for all services as required.
  • Post all payments on patient accounts in MiChart
  • Fee collection cash, check, credit card
  • Daily posts for student accounts, payroll deductions, athletic department, etc.
  • Facilitate urgent or walk-in patient flow and direct calls to nurses for patients needing immediate assistance.
  • Call a nurse for patients needing isolation, lie-down or wheelchair assistance.
  • Schedule patients in appropriate slots according to services needed
  • Check-in patients for point of care as well as virtual services.
  • Act as primary point-of-contact person for 146 Emergency Response Team.
  • Receive returned rented items and provide receipt to patient for reimbursement.
  • Call Taxi service for patients needing transport, or DPSS for patients needing quarantine.
  • Obtain paper charts from HIM as needed for patient care
  • Sort and distribute mail as delivered within clinic
  • List available overbooks for Triage
  • Review and participate in UHS emergency response procedures
  • Maintain general office supplies in respective area(s)
Patient Contact 35%
  • Act as liaison between patient and clinician.
  • Answer multi-line telephone as reception for Clinic
  • Verify eligibility status of patients.
  • Update patient demographics. Update patient registration and verify insurance information.
  • Support patients initial in-take needs such as complaints, late arrivals, walk-in patients, etc.
  • Explain UHS policies and procedures, payment, scheduling, use of urgent / walk-in services, etc.
  • Register & schedule patients for new & return visits.
  • Answer questions, give directions to passersby.
  • Patient check-in/check-out, verify guarantor for visit, monitor patient flow
  • Provide after visit summary for all patients.
  • Explain patient portal details and how to enlist.
  • Process medical excuses according to protocol.
  • Maintain patient privacy and secure patient health information.
  • Personal interaction involves providing and obtaining confidential information.
Required Qualifications*
  • High school diploma or an equivalent.
  • One year clerical experience, preferably in a medical setting.
Desired Qualifications*
  • MiChart scheduling proficiency
  • Bi-lingual or multi-lingual skills

Selected candidates whose start date is between 4/1/2026 - 9/1/2026 will not be eligible for the university FY26-27 salary/merit plan unless otherwise notified.

Salary may vary depending on qualifications, experience, and education of the selected candidate.

Work Schedule

This is a full-time, 40 hours per week position. Your schedule will be daytime, usually 8 or 9am - 6:00 PM, Monday through Friday, plus rotating weekend coverage. We are open Monday through Friday year around, and on weekends during fall and winter terms. Your duties will include coverage for Saturday and Sunday shifts, generally 4-5 hours opening at 9:00 AM -1:00 PM or when last patient leaves.

Physical requirements

You will be do some moderate standing and walking, and may be asked to help move, position, push, and/or help transfer patients on occasion.

Training

Staff members are expected to exercise judgement in setting priorities. You will be trained within and perhaps including outside of our department, by experienced staff and tenured Medical Assistants.
