Job description

Executive Administrative Assistant

Under the direct supervision of the Executive Administrative Assistant represents the agency in a professional manner; operates telephone; receives visitors to the agency; and provides a variety of clerical services to assist in the office operations.

The incumbent must possess skill and understanding in dealing with telephone contacts and interpersonal relationships with staff members, clients, and the public; must possess basic typing, Microsoft Office and clerical skills; and the ability to affirm the philosophies, policies, goals, and heritage of the agency, together with the ability to apply these philosophies and goals constructively in the performance of duties.

Typical Job Duties:

  • Covers reception desk when receptionist takes sick or vacation days (on an as needed basis)
  • Flexibility to cover at times with short notice (sometimes night before or morning of the shift)
  • Can help with set up and/or cleanup of scheduled events with advance notice
  • Answers and directs incoming phone calls
  • Greets and helps direct visitors and clients
  • Receives packages and mail
  • Receives and sends out subpoenas

Education/Experience requirements:

High School diploma required and 1-2 years' clerical experience and Spanish-English bilingual preferred.

Monday-Friday 8:30am-4:30pm (hours can be flexible, such as 9am-4pm) on an as needed basis when receptionist takes sick or vacation days. Notice of hours can sometimes be given in advance, such as a few days or weeks or advance of the shift and other times it will be with short notice, such as the night before or the morning of the shift. As needed.
