At The Kristy Moore Team, we're looking for a highly organized, proactive operations professional who thrives on bringing order to fast-moving environments. This isn't your typical administrative role, and it isn't a traditional Executive Assistant position either.

You'll become the trusted right hand to our leadership team while supporting multiple real estate businesses spanning residential sales, property management, renovations, new construction, and investment properties. One day you might be preparing contracts, coordinating listings, and tracking deadlines. The next, you could be visiting a property, obtaining signatures, coordinating with vendors, following up with an HOA, or helping ensure a closing stays on track.

The Opportunity

As our Real Estate Operations & Executive Coordinator, you'll serve as the operational backbone of the organization.

You'll support multiple companies across our real estate portfolio by managing contracts, coordinating listings, tracking deadlines, communicating with vendors, title companies, clients, contractors, and associations, while helping leadership stay focused on growing the business.

This role combines real estate operations, transaction coordination, executive support, and administrative support into one dynamic position.

Some days you'll spend most of your time managing contracts, following up on inquiries, paperwork and communications. Other days you'll be visiting properties, helping with appointments, obtaining signatures, coordinating vendors, or solving unexpected problems that naturally arise in real estate.

Your job is simple in theory but challenging in practice: keep projects moving, keep details organized, and help ensure nothing falls through the cracks.

What You'll Do

• Prepare, organize, and manage real estate contracts, disclosures, amendments, and supporting documentation.

• Track contract deadlines from execution through closing while proactively ensuring all required items are completed on time.

• Coordinate with title companies, lenders, vendors, contractors, clients, and other parties involved in each transaction.

• Manage listing preparation by coordinating paperwork, MLS information, documentation, timelines, and launch readiness.

• Schedule closings, showings, inspections, meetings, and appointments while ensuring all parties remain informed.

• Follow up persistently on outstanding documents, approvals, signatures, HOA requirements, design review applications, and other time-sensitive items.

• Communicate with homeowner associations regarding violations, approvals, applications, and required documentation.


• Support property management operations by coordinating with tenants and property manager, vendor communication, and customer service follow up.

• Visit properties as needed to coordinate vendors, deliver documents, or assist with operational tasks.

• Occasionally accompany leadership to appointments or drive to meetings when business travel makes it more efficient.

• Handle business-related errands including obtaining signatures, returning packages, and other operational support tasks.

• Organize digital files, maintain accurate records, and ensure documentation remains current and accessible.

• Anticipate needs before being asked, solve problems independently, and help keep the business running efficiently.

Requirements

What We're Looking For

• At least one year of experience in real estate, title, mortgage, transaction coordination, property management, or leasing.

• Experience working with contracts, documentation, deadlines, and multi-step processes.

• Outstanding organizational skills with exceptional attention to detail.

• Strong written and verbal communication skills.

• Comfortable following up professionally and persistently when others are unresponsive.

• Resourceful problem solver who enjoys figuring things out independently.

• Able to balance administrative responsibilities with occasional field work and local travel.

• Proficient with Google Workspace, Microsoft Office, CRMs, and digital document management systems.

• Valid driver's license and reliable transportation.
