Job Title: Property Administrator

Position Summary

The Commercial Property Administrator at Melan supports the efficient operation and administration of commercial properties under management. This role works closely with property managers and the broader team to ensure properties are maintained, financial transactions are processed accurately, tenants are supported, and compliance and documentation are up to date.
 
Key Responsibilities

Administrative & Operational Support
  • Assist with day-to-day commercial property operations and administration. 
  • Establish and maintain organized records for property, lease, and vendor files (including contracts, contact lists, correspondence, insurance certificates, etc.). 
  • Process general office tasks such as filing, data entry, scheduling meetings, and coordinating internal communications.

Tenant Relations
  • Serve as a point of contact for tenant inquiries, providing professional communication and timely responses. 
  • Prepare and distribute tenant notices, communications, and routine correspondence. 
  • Assist with lease administration tasks, including documentation and renewal tracking.
 
Financial & Reporting Support
  • Assist with processing invoices and accounts payable/receivable in property management systems. 
  • Prepare and distribute monthly management reports, summaries, and other supporting documentation. 
 
Vendor & Maintenance Coordination
  • Collaborate with vendors and contractors to coordinate services and maintain property standards. 
  • Participate in property inspections and safety checks, ensuring proper reporting and follow-up. 
 
Compliance & Documentation
  • Ensure compliance with local property regulations, maintaining records and documentation as required. 
  • Support internal audits and prepare files for review by property managers.
 
Qualifications

  • Education: Bachelor’s degree preferred (Business Administration, Real Estate, or related field). 
  • Experience: Experience in property management or real estate preferred; administrative experience a plus. 
  • Technical Skills: Proficiency with property management software and standard office tools (e.g., MS Office). 
  • Communication: Excellent verbal and written communication skills. 
  • Organizational Skills: Strong attention to detail, ability to multitask, prioritize, and work collaboratively.
