About the Role

The Commercial Property Manager is responsible for the day-to-day management and performance of a portfolio of commercial and retail properties. This role focuses on delivering strong tenant relationships, ensuring operational excellence, managing vendor performance, and supporting financial performance through budgeting, cost control, and lease compliance.

The Property Manager acts as the primary point of contact for tenants and service providers while working closely with leasing, accounting, and operations teams to ensure properties are well maintained, compliant, and operating efficiently.

Key Responsibilities

Tenant Relations & Customer Service

  • Act as the primary contact for tenant inquiries, service requests, and concerns
  • Build and maintain strong tenant relationships to support retention and satisfaction
  • Ensure timely resolution of tenant issues and follow up to confirm completion
  • Conduct regular tenant communications and on-site meetings as required

Property Operations

  • Oversee daily operations of a portfolio of commercial and retail properties
  • Conduct regular site inspections to ensure properties are well maintained and compliant
  • Coordinate maintenance requests and supervise vendor performance
  • Ensure properties are operating in line with company standards and procedures
  • Manage after-hours and emergency response on a rotational basis

Financial Management & Reporting

  • Support annual budget preparation and ongoing forecasting
  • Monitor expenses and review monthly variance reports
  • Code and approve invoices in accordance with internal processes
  • Monitor arrears and follow up with tenants regarding outstanding balances
  • Support accruals and assist accounting with financial reporting as required

Vendor & Contract Management

  • Manage service contracts and vendor relationships
  • Obtain competitive quotes for services and support contract renewals
  • Ensure vendors meet service expectations and contractual obligations
  • Coordinate maintenance, repairs, and capital-related service work

Leasing & Asset Support

  • Support leasing activities including tenant coordination and unit showings
  • Maintain accurate tenant records and lease documentation
  • Interpret lease agreements to support enforcement of obligations
  • Work closely with leasing and asset management teams on occupancy and tenant needs

Compliance & Risk Management

  • Ensure properties comply with applicable municipal, provincial, and safety regulations
  • Support implementation of health, safety, and accessibility requirements (OHSA, AODA, etc.)
  • Coordinate routine inspections and required compliance testing (e.g., fire safety systems)
  • Assist with risk assessments and mitigation initiatives

Administration & Coordination

  • Maintain accurate property and tenant records
  • Coordinate communication between tenants, vendors, internal teams, and external partners
  • Support general administrative functions related to property operations

Requirements

  • 3+ years of commercial property management experience
  • Strong knowledge of tenant relations, leasing fundamentals, and property operations
  • Strong organizational and time management skills
  • Excellent written and oral communication and interpersonal abilities
  • Detail-oriented and solution-focused with strong critical thinking, sound judgment, and a proactive, timely approach to issue resolution.
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
  • Experience with Yardi or similar property management systems considered an asset
