POSITION SUMMARY:
Theโ€ฏEpisodicย Production Coordinatorย functionsย as an extension of a lead producer andย beย a main point of contact while working with internal and external teams to organize, supervise, andย monitorย the progress of projects. Possessing a sense of urgency, the Episodic Production Coordinatorย demonstratesย an ability to work within a fast-paced and collaborative environment, deliveringย accurateย and quality work on schedule, andย hasย excellent skills in building relationships and communicating effectively. In an operations capacity, this role requires a highly professional demeanor and diplomacy when dealing with clients, production management, coworkers, and artists. Theย Production Coordinatorย reports into the Head of Production and actively provides support and executesย task-basedย work for theย episodicย finishing producing team.ย 

Location:ย This position will require working in our Hollywood studio on a regular basis.โ€ฏ You may alsoย be requiredย to travel and work out of our studio in Santa Monica, as needed.ย 

Hours:ย 3 PM - 11:35 PM Monday - Friday. โ€ฏAvailable to work overtime and variable shifts, including late nights,ย weekendsย and holidays, as necessary per business needs.ย 


MAIN DUTIES:
The Production Coordinatorย will help the Lead Producer manage and drive online, color and delivery schedules.ย They will act as a main point of contact alongside your producer for their internal CO3 team and clients via in-person interactions, e-mail, and phone. They will alsoย assistย inย maintainingย effective communication with the internal team and clientsย regardingย job status. They will help coordinate and verify project needs prior to any session start times and/or client arrivals as well as deliveries. They will help keep a pulse on all projects being produced including the status of individual show/episodes and budgets.ย 

The following tasks illustrate some of the primary responsibilities:ย 

  • Firsthand communication with Producers upon arrival and throughout the day.ย 
  • Assistย in the collection and logging of project statuses and key information.ย 
  • Keep the production team up to date on project status.ย 
  • Generate prep and post status reports, daily memos, and week at glances.ย 
  • Support episodic assists with project information, prioritizing tasks, and ensuring they have the elements to complete their tasks.ย 
  • Interface with client ifย requiredย elements for jobs are missing.ย 
  • Assistย producer in the creation,ย actualizingย and billing of work orders.ย 
  • Ensure all resources assigned toย jobย are available as scheduled.ย 
  • Make sure projects and resources are ready for sessions to begin on time.ย 
  • Work with Producer and assistants to troubleshoot any session related problems.ย 
  • Assistย in greeting and escorting clients to the bays upon arrival.ย ย 
  • Assistย in checking in on artists, clients, assists, and client services on a regular basis to make sure the session is well supported.ย ย 
  • Notify the Producer if any delivery deadlines that will or are in jeopardy of being missed.ย 
  • Setting up test feeds prior to session, including all face-to-face virtual interaction.ย 
  • Communicating with our Engineers if any network issues arise.ย 
  • Engage Engineering staff to resolve urgent technical problems.ย 
  • Project scheduling.ย 
  • Coordinating project details across sister facilities.ย 
WHAT YOU BRING:
The ideal candidate will bring a self-starting and a positive, can-do attitude. They will be adaptable, organized, and proactive. They will work great in collaboration with all members of a project. They will be perseverant under pressure in a quick pace environment. The ideal candidate will also bring the following:
  • Previous experience in Entertainment/Film/Arts.
  • Episodic or Feature Finishing Post-Production Experience.
  • Basic knowledge of offline editing, VFX and sound workflows.
  • Basic knowledge of scheduling the post process.
  • Media Pulse and/or post-production scheduling software experience.
  • Background and/or knowledge of offline editing.
  • Basic knowledge ofย task basedย software (ClickUp, Asana, Jira).
