Job description

ABOUT THE ROLE

We are seeking a highly organized, tech-savvy Marketing Operations Manager to help build and scale the systems, workflows, reporting, and automation infrastructure behind a growing marketing organization.

This role will play a key part in optimizing HubSpot, marketing automation, digital campaigns, reporting, webinars, and operational processes across both our established core business and newer growth initiatives. The ideal candidate enjoys improving systems, solving problems, creating structure, and helping teams execute more efficiently in a fast-moving environment.

WHAT YOU’LL DO

• Manage and optimize HubSpot workflows, forms, landing pages, email campaigns, lists, lead routing, and campaign tracking
• Own CRM data quality, segmentation, reporting, attribution tracking, and marketing automation processes
• Build and maintain KPI dashboards, campaign reporting, operational analytics, and conversion tracking
• Coordinate webinar operations including registrations, landing pages, follow-up workflows, and supporting content
• Support website and digital marketing updates across platforms
• Coordinate social media scheduling, campaign operations, and marketing asset management
• Document SOPs and help improve operational efficiency as systems and marketing initiatives continue scaling
• Work cross-functionally with marketing, sales, operations, customer support, compliance, IT, and outside vendors

PLATFORMS & TOOLS

Primary platforms include HubSpot, Google Ads/Analytics, Meta Ads Manager, GoTo Webinar/GoTo Meeting, Excel/Google Sheets, Umbraco, and social media management tools.

Experience with AI tools (ChatGPT, Claude, Canva AI, etc.), Zapier, Canva, Zoom Webinar, basic HTML/CSS, or HubSpot certifications is a plus.

WHAT WE’RE LOOKING FOR

• Experience with HubSpot or a similar CRM/marketing automation platform
• Strong organizational, communication, and problem-solving skills
• Familiarity with email marketing, workflows, campaign tracking, reporting, and lead management
• Comfortable working with spreadsheets, dashboards, reporting, and marketing analytics
• Ability to manage multiple projects in a fast-moving environment
• Experience with D2C, healthcare, veterinary, medical device, or regulated industries is a plus

WHAT WE’RE LOOKING FOR

· Experience with HubSpot or a similar CRM/marketing automation platform.

· Familiarity with email marketing, landing pages, forms, workflows, campaign tracking, and lead management.

· Understanding of attribution, UTM tracking, conversion tracking, and campaign reporting.

· Strong Excel or reporting skills, including exports, list cleanup, pivot tables, and performance reporting.

· Experience coordinating webinars, virtual events, online education programs, or video-based marketing content.

· Ability to manage multiple projects, shifting priorities, and cross-functional requests with strong attention to detail.

· Strong written communication, organization, troubleshooting, and problem-solving skills.

· Experience with D2C, e-commerce, healthcare, veterinary, medical device, life sciences, or another regulated industry is a plus.
