What is a virtual office assistant?

A virtual office assistant is a remote contractor who typically handles the essential office administrative tasks that otherwise would be dealt with by a traditional administrative assistant. As a virtual assistant or VA, you primarily work from home, using your home office setup for remote work duties, including placing and taking telephone calls, typing documents, sending and forwarding emails, scheduling appointments, and managing social media profiles. In this role, you should be able to handle a wide variety of tasks so that your employers can focus on other responsibilities. However, you may also choose to market yourself as a specialist in a particular skill or area, in which case your duties would align more so with the industry or field you work in.

What are some common challenges virtual office assistants face when managing multiple clients remotely?

Virtual Office Assistants often juggle tasks for several clients at once, which can make prioritization and time management challenging. Clear communication and setting boundaries are essential to ensure expectations are met and deadlines are achieved. Additionally, adapting to each client's preferred tools and workflows requires flexibility and quick learning. Effective organization and regular check-ins help maintain productivity and client satisfaction.

Creating a professional resume highlighting these skills and applying through online job platforms or freelance websites can help you find opportunities. Some roles may require prior experience or certifications in administrative support.

Is a virtual office assistant still in demand?

Job description

Daiso USA is seeking a highly skilled Japanese / English Executive Assistant to provide executive administrative, translation, interpretation, and cross-cultural communication support to senior leadership. This role serves as a critical communication bridge between Japanese and English-speaking executives, business partners, and internal stakeholders across the United States and Japan.
The ideal candidate will be fluent in both Japanese and English and able to provide accurate, professional interpretation in a variety of executive settings, including live in-person meetings, virtual meetings, leadership discussions, executive briefings, and simultaneous or near-simultaneous interpretation using technology platforms. This role requires more than word-for-word translation. The right candidate must be able to interpret tone, context, business intent, cultural nuance, etiquette, and emotional meaning to ensure leaders are fully understood on both sides of the conversation.
This position requires discretion, professionalism, strong judgment, executive presence, and the ability to operate confidently in a fast-paced environment where accuracy, confidentiality, and cultural awareness are essential.
Key Responsibilities
• Provide high-level executive administrative support, including calendar management, scheduling, meeting coordination, travel arrangements, expense support, and follow-up tracking.
• Support communication between Daiso USA C-suite leaders, executives, and business partners in both Japan and the United States.
• Provide Japanese / English translation and interpretation support for live in-person meetings, virtual meetings, executive briefings, presentations, business reviews, and leadership discussions.
• Facilitate simultaneous or near-simultaneous interpretation using appropriate technology tools during meetings and executive communications.
• Translate business documents, reports, presentations, emails, meeting materials, and other professional communications with accuracy, clarity, and cultural awareness.
• Interpret not only language, but also tone, cultural context, business etiquette, emotional nuance, and intended meaning to support mutual understanding and effective decision-making.
• Assist with preparation of executive reports, presentations, agendas, meeting minutes, summaries, action items, and follow-up materials.
• Coordinate communications between leadership, internal teams, external partners, and international stakeholders.
• Maintain organized records, confidential files, meeting notes, project documents, and executive materials.
• Support special projects, cross-functional initiatives, and other administrative priorities as assigned.
• Handle sensitive and confidential information with professionalism, discretion, and sound judgment.
Qualifications
• 3+ years of experience in executive administrative support, translation, interpretation, international business support, or a related role.
• Fluency in Japanese and English, including strong written and verbal communication skills in both languages.
• Experience providing interpretation in professional, executive, or business settings.
• Ability to support live, in-person, virtual, and technology-assisted interpretation.
• Strong understanding of Japanese and U.S. business culture, communication styles, etiquette, and professional expectations.
• Ability to translate cultural meaning, tone, intent, and emotional nuance beyond literal word-for-word translation.
• Strong organizational skills with the ability to manage multiple priorities, deadlines, and executive-level requests.
• Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
• Comfortable using virtual meeting platforms and translation or interpretation technology tools.
• Ability to maintain confidentiality and exercise discretion when working with sensitive executive, business, or personnel information.
• Professional presence, strong judgment, and the ability to work effectively with senior leaders and C-suite executives.
• Experience supporting executives or senior leadership strongly preferred.
Preferred Qualifications
• Prior experience supporting Japanese and U.S. executive teams.
• Experience in retail, international business, or a multinational corporate environment.
• Experience preparing bilingual business materials, presentations, executive summaries, or meeting minutes.
• Familiarity with simultaneous interpretation tools or multilingual meeting technology.
Key Competencies
• Executive presence and professionalism
• High degree of confidentiality and discretion
• Cross-cultural communication
• Accuracy and attention to detail
• Sound judgment and adaptability
• Strong follow-through and organization
• Ability to work across time zones and with senior leaders in multiple countries
