Virtual Care Coordinator
Reports to: Senior Director of Operations
Compensation: $40,000 plus benefits
Location: Overland Park, KS 66210
Schedule: 7 on, 7 off model working Monday-Sunday, 7am to 7pm. Completely off the following 7 days.
Remote/hybrid schedule on Mondays and Fridays, with on-site hours required at IPC Headquarters in Overland Park, KS on Tuesday - Thursdays.
Job Summary
The Virtual Care Coordinator supports hospital-based psychiatric and behavioral health services by coordinating patient readiness and logistics for virtual provider evaluations and ongoing care. This role is essential to ensuring timely, safe, and compliant access to virtual psychiatrists, psychiatric nurse practitioners, and other behavioral health providers within emergency departments, inpatient psychiatric units, and medical floors.
The Care Coordinator serves as the primary operational liaison between hospital staff, patients, and virtual behavioral health providers as well as scheduling, technology amp; patient readiness, and communication to support effective psychiatric assessment.
Key Responsibilities
Virtual Patient Coordination
  • Set up patients requiring psychiatric or behavioral health evaluation
  • Coordinate between the hospital staff, providers and any third-party partners to ensure patient and technology readiness for consult-liaison services.
  • Support patient and technology readiness for virtual psychiatric assessments, including ipad/cart readiness, as well as calling hospital staff to ensure the phone number for the referring provider is correct
Hospital amp; Clinical Team Collaboration
  • Work closely with hospital nursing staff, ED teams, inpatient psychiatric units, and case management to facilitate virtual behavioral health consults.
  • Serve as the primary point of contact for operational coordination between hospital partners or third party partners and virtual psychiatrists or psychiatric NPs.
  • Schedule and coordinate virtual behavioral health evaluations, follow-ups, and coverage needs in alignment with hospital workflows and acuity.
  • Communicate real-time updates related to patient status, follow-up care, safety concerns, delays, interpretation services or changes in clinical needs.
  • Prep patient charts for virtual behavioral health providers
  • Occasionally scribe
Virtual Care amp; Technology Support
  • Assist hospital staff and patients with basic technology setup required for virtual psychiatric encounters (e.g., tablets, carts, platform access) by confirming correct iPad/cart prior to consult and that the device is in the room and ready.
  • Ensure virtual visit workflows support patient privacy, safety, and regulatory requirements.
  • Identify and escalate technology or workflow barriers that may impact behavioral health evaluations.
Documentation amp; Compliance
  • Ensure accurate and timely documentation related to behavioral health coordination, intake status, and visit readiness.
  • Support compliance with HIPAA, Joint Commission standards, hospital policies, and organizational protocols.
  • Maintain coordination records in designated systems and support documentation completeness for clinical encounters.
Care Transitions amp; Continuity
  • Support coordination of follow-up consults as recommended by the virtual behavioral health provider.
  • Communicate care coordination needs to hospital and internal operations teams.
  • Assist with continuity of care efforts to reduce ED boarding, delays in evaluation, and gaps in behavioral health coverage.
Operational Support amp; Quality
  • Participate in administrative onboarding and implementation of new hospital behavioral health programs or workflows.
  • Assist with process improvement initiatives related to virtual behavioral health delivery.
  • Support data tracking, reporting, and operational metrics related to behavioral health coordination.
  • Perform additional duties as assigned to support clinical and operational needs.
Qualifications
Required
  • High school diploma or equivalent required; associate or bachelor’s degree in healthcare, behavioral health, social work, or related field preferred.
  • 1–3 years of experience in behavioral health, hospital operations, care coordination, or patient services.
  • Experience working with behavioral health populations in hospital, inpatient, ED, or crisis settings strongly preferred.
  • Strong communication skills with the ability to interact professionally with patients, families, hospital staff, and providers.
  • Comfort working in fast-paced, high-acuity clinical environments.
  • Proficiency with technology platforms and electronic health records (EHRs).
Preferred
  • Experience supporting virtual psychiatry, telebehavioral health, or remote consult services.
  • Familiarity with inpatient psychiatry, emergency psychiatry, or consultation-liaison workflows.
  • Knowledge of behavioral health documentation, consent, and safety considerations.
  • Local to Kansas City, KS
  • Nursing background (LPN, RN, etc.) or similar
Physical amp; Work Requirements
  • Primarily sedentary work with frequent computer and phone use.
  • Ability to communicate effectively via phone, video, and in person.
  • Ability to remain calm and professional in high-stress behavioral health situations.
