What is a virtual dispatcher?

A Virtual Dispatcher is a remote professional who coordinates and manages the scheduling of deliveries, transportation, or emergency services using digital communication tools. They communicate with drivers, service providers, or field personnel to ensure timely and efficient dispatching. Responsibilities often include tracking routes, managing schedules, handling customer or client inquiries, and resolving logistical issues. Virtual Dispatchers typically work in industries like trucking, emergency response, rideshare services, or field service operations. Their role helps streamline operations while reducing costs associated with on-site dispatching.

What are some common challenges faced by virtual dispatchers, and how are they typically addressed?

Virtual Dispatchers often handle the coordination of multiple drivers, field staff, or deliveries across various locations, which can lead to high-pressure situations and rapid decision-making. Challenges may include managing schedule changes, addressing unexpected delays, and maintaining clear communication despite being remote from the rest of the team. To overcome these challenges, Virtual Dispatchers rely on strong organizational systems, real-time tracking tools, and standardized communication protocols. Employers typically provide thorough training and technical support to ensure dispatchers are well-equipped to succeed in a virtual work environment.

What are the key skills and qualifications needed to thrive in the virtual dispatcher position, and why are they important?

Virtual Dispatchers need excellent organizational abilities, multi-tasking skills, and a high school diploma or equivalent, often coupled with prior dispatch or logistics experience. Proficiency in dispatch management software, GPS tracking systems, and communication tools like VoIP platforms is usually required. Outstanding customer service, problem-solving, and time management skills help individuals excel in this remote coordination role. These abilities are crucial for ensuring efficient operations, timely response, and a seamless flow of information between clients, drivers, and other team members.

Position Overview
The Dispatcher for our Fort Worth office plays a key role in keeping our Construction Materials Testing (CMT) Department organized, efficient, and moving forward. You'll help coordinate daily job assignments and schedules for Field Engineering Technicians, making sure the right people are in the right place at the right time to support our clients and projects.
As a Dispatcher, you'll be at the center of daily field operations, working closely with clients, technicians, project teams, and the laboratory. You'll manage incoming job requests, coordinate schedules through dispatch software, and support sample logistics, and technician records.
Attention to detail is essential. We're looking for someone who enjoys staying organized, solving scheduling challenges, communicating with others, and managing multiple priorities. This is a fast-paced role where your organization and follow-through will make a direct impact on field productivity, team success, and client satisfaction.
Responsibilities
  • Communicate professionally with client representatives via phone and email for job assignments.
  • Document conversations with clients and prepare work orders.
  • Coordinate job assignments in relation to the location of Field Technicians: using online dispatching software to maximize production and minimize travel time.
  • Manage the scheduling, deployment, and Time Off usage of all Field Technicians.
  • Organizes laboratory sample retrieval (concrete cylinders, soil samples, etc), and notifies the Laboratory Supervisor of pending rushes.
  • Maintains log of Nuclear equipment checked in or out, and distributes dosimeter badges to Technicians.
  • Assist the Productivity Project Manager when necessary with word orders and Technician paperwork issues.
  • Obtain and organize all purchase orders prior to scheduling Technicians.
  • Adhering and abiding to all safety procedures.
  • Performs other duties as assigned.

Qualifications
  • High school diploma or equivalent preferred.
  • Valid driver's license, with acceptable driving record.
  • 1-3 years of related training and/or experience with an AEC firm preferred.
  • Computer skills sufficient to operate a laptop, such as sending/receiving emails, and the ability to learn Field Data Collection (FDC) software to input data and prepare reports.
  • Knowledge of standard field and laboratory procedures.
  • Adaptability and flexibility to changing schedules and hours to support business needs.
  • Strong organizational, time management, and problem-solving skills.
  • Able to work independently and as part of a team.
  • Ability to read, write, and interpret procedures, manuals, technical documents, and reports (written and oral).
  • Mathematical skills sufficient to add, subtract, multiply, and divide in all units of measure.
    Preferred Qualifications
    • Bilingual in Spanish and English preferred

    Travel Requirements
This position requires occasional travel, approximately 0% to 20% of the time, to support business objectives and client engagements. Travel may be both scheduled and on short notice, depending on project needs. Destinations typically include job sites, field locations, or regional offices, where work may be conducted in outdoor or operational environments. Adherence to all company safety protocols and use of PPE is required during travel and on-site work.
    Physical Demands & Work Environment
    • This position primarily operates in a professional office environment, requiring the ability to work at a desk for extended periods while using a computer, phone, and standard office equipment.
    • The position involves sitting for extended periods, performing data entry, and engaging in frequent communication via email, phone, and in-person interactions.
    • The role involves regular communication with team members, clients, and stakeholders, both in person and through virtual platforms.
    • The physical demands of the job may include occasional standing, walking, bending, and lifting of office materials up to 15 pounds.
