We are seeking a Front Desk Administrator to join our team. This is an entry-level position with growth opportunities, ideal for someone with excellent communication skills, an upbeat attitude, and strong attention to detail. As the first point of contact for our clients and visitors, you’ll play a key role in creating a welcoming and professional environment.

Core Responsibilities

Client Service and Front Desk Operations

  • Serve as the first point of contact for clients, guests, attorneys, and staff, providing a warm, professional, and welcoming experience.
  • Greet and check in visitors accurately and efficiently while ensuring a seamless arrival process.
  • Coordinate and distribute meeting details, virtual access information, and other session materials to clients and professionals.
  • Provide technical support for virtual and hybrid meetings, including setting up video conferencing, assisting participants, managing breakout rooms, screen sharing, and troubleshooting audio or connectivity issues.
  • Prepare meeting materials, print documents, and assist with day-of event logistics to ensure successful in-person and virtual meetings.
  • Answer and direct a high volume of incoming phone calls with professionalism, discretion, and exceptional customer service.
  • Administrative Operations
    • Process incoming mail, deliveries, and correspondence, which may include confidential legal documents and exhibits containing graphic or sensitive content, while maintaining professionalism, discretion, and timely distribution.
    • Maintain office organization and support daily administrative operations.
    • Monitor inventory of office supplies, refreshments, and hospitality items, placing orders as needed.
    • Coordinate meeting schedules, room reservations, client confirmations, and daily administrative tasks to support office operations.
  • Facilities and Hospitality Management

    • Coordinate conference room scheduling, catering, and hospitality services for meetings and events.
    • Ensure conference rooms and amenities are clean, organized, fully equipped, and client-ready throughout the day.
    • Monitor facility appearance and identify opportunities to maintain a polished, professional environment.
    • Help create an exceptional guest experience by maintaining high standards of hospitality and workplace presentation.

Qualifications

  • 1–2 years of customer service experience required

  • 1-2 years Front desk or reception experience preferred

  • 1-2 years Legal office experience a plus, but not required

  • Strong interpersonal, written, and verbal communication skills

  • Professional demeanor and ability to maintain confidentiality

  • Highly organized, detail-oriented, and able to prioritize tasks independently
