Position Overview

Collaborative Therapies is seeking a dependable, organized, and proactive Virtual Assistant to provide administrative support across daily business operations. This role is ideal for someone who communicates professionally, follows instructions carefully, manages competing priorities, and can complete assignments independently.

The Virtual Assistant will help maintain organized systems, support communication, update records, prepare documents, and complete routine administrative tasks. This position requires discretion because the individual may have access to confidential company, employee, contractor, candidate, and client information.

Key Responsibilities
  • Manage and organize emails, documents, digital files, and company records

  • Draft and format professional emails, letters, forms, reports, and internal documents

  • Maintain spreadsheets, trackers, calendars, contact lists, and administrative databases

  • Enter and update information accurately across company systems

  • Assist with scheduling meetings, appointments, interviews, and follow-up reminders

  • Track deadlines, outstanding documents, and assigned action items

  • Follow up with staff, candidates, contractors, schools, and business contacts as directed

  • Support employee and contractor onboarding by organizing required documents and monitoring completion

  • Assist with job postings, applicant communication, and interview coordination

  • Prepare meeting agendas, take notes, and organize follow-up tasks

  • Help maintain company procedures, templates, and standard operating documents

  • Conduct basic online research and compile findings into an organized format

  • Complete other administrative and operational assignments as needed

Qualifications
  • Previous experience as a Virtual Assistant, Administrative Assistant, Executive Assistant, or in a similar support role

  • Strong written and verbal communication skills

  • Excellent organization, time-management, and follow-through

  • High level of accuracy and attention to detail

  • Ability to manage multiple assignments and meet deadlines

  • Ability to work independently and ask questions when instructions are unclear

  • Professional judgment when handling confidential information
