Title: Chief of Staff - Private Family Office / Residential Operations
Location: Palm Beach, FL
Schedule: Full-Time; Flexible Schedule Required, Including Evenings, Weekends & Holidays
Travel: Seasonal flexibility required for the Hamptons and New Jersey
Compensation: $200,000-$225,000 DOE + Discretionary Bonus + Health Insurance + PTO + 401(k)
 
Position Overview
A highly regarded UHNW family is seeking an experienced Chief of Staff to provide strategic leadership and operational oversight across a portfolio of high-end private residences. The Chief of Staff will serve as a trusted senior representative of the Principals, ensuring seamless coordination of household operations, personnel, vendors, financial administration, capital projects, and special initiatives across multiple properties.
 
This is a high-level leadership position requiring demonstrated experience overseeing multiple luxury residences, complex household operations, and large multidisciplinary teams. The ideal candidate is an operationally sophisticated leader who can move seamlessly between strategic planning and hands-on execution, while maintaining the highest standards of discretion, professionalism, service, and accountability.
 
Core Responsibilities:
 
Residential Operations & Estate Management
  • Provide comprehensive operational oversight for multiple UHNW private residences.
  • Establish and maintain consistent operational standards, procedures, and service protocols across all properties.
  • Develop systems to ensure each residence remains fully staffed, maintained, organized, secure, and Principal-ready.
  • Conduct regular operational reviews and identify opportunities to improve efficiency, service delivery, and cost management.
  • Coordinate inter-property logistics, staffing, inventory, transportation, maintenance, and household requirements.
 
Leadership & Human Capital Management
  • Lead, recruit, onboard, train, manage, and retain a large multidisciplinary residential staff.
  • Oversee employees across administrative support, property management, childcare, culinary/food service, housekeeping, transportation, maintenance, and other household functions.
  • Establish clear organizational structures, reporting lines, performance expectations, and accountability standards.
  • Conduct performance evaluations and implement corrective action or development plans as appropriate.
  • Foster a collaborative, service-oriented culture while maintaining professional boundaries and high performance standards.
  • Develop and maintain comprehensive employee handbooks, policies, procedures, job descriptions, and operational manuals.
 
Financial & Administrative Management
  • Develop, manage, and monitor property-specific operating budgets across multiple residences.
  • Track expenditures, approve invoices, authorize bills, and maintain appropriate financial controls.
  • Monitor departmental and household expenses and identify opportunities for operational efficiencies and cost optimization.
  • Establish purchasing and approval protocols consistent with the Principals' expectations.
  • Maintain accurate operational records and provide regular reporting to the Principals and/or designated representatives.
 
Vendor & Contract Management
  • Direct the selection, onboarding, supervision, and performance management of household and property vendors.
  • Solicit and evaluate proposals, negotiate pricing and service agreements, and manage contract terms.
  • Establish vendor performance standards and ensure compliance with agreed-upon scopes of work.
  • Maintain strong relationships with contractors, service providers, consultants, and other external partners.
  • Escalate significant operational, financial, or performance issues appropriately and proactively.
 
Capital Projects, Construction & Renovations
  • Serve as the Principal's representative for major construction, renovation, restoration, and capital improvement projects.
  • Coordinate with architects, designers, contractors, engineers, project managers, and other professional advisors.
  • Monitor project timelines, budgets, deliverables, quality standards, and overall execution.
  • Provide regular project updates, identify potential risks or delays, and proactively develop solutions.
  • Ensure completed projects meet the Principals' expectations and established property standards.
 
Events, Projects & Special Initiatives
  • Plan and execute private events, family gatherings, holidays, and other high-touch functions across multiple residences.
  • Lead special projects from initial planning through execution and closeout.
  • Coordinate staffing, vendors, transportation, catering, security, property preparation, and other logistical requirements.
  • Manage competing priorities while maintaining exceptional attention to detail and confidentiality.
 
Principal Support & Representation
  • Act as a trusted operational liaison and professional representative of the Principals.
  • Anticipate needs, identify potential issues before they arise, and ensure timely resolution.
  • Exercise sound judgment regarding sensitive personal, financial, staffing, and household matters.
  • Maintain absolute discretion and confidentiality regarding the family, their activities, finances, properties, and personnel.
  • Communicate effectively with Principals, family members, senior staff, advisors, and external professionals.
 
Required Qualifications
  • Bachelor's degree from an accredited college or university.
  • Significant senior-level experience managing multiple UHNW private residences or estates.
  • Proven experience overseeing large, multidisciplinary household teams.
  • Demonstrated expertise in residential operations, personnel management, budgeting, vendor management, and project oversight.
  • Experience serving as a senior operational representative for major construction and/or renovation projects.
  • Strong understanding of private service environments and the expectations associated with UHNW households.
  • Exceptional written and verbal communication skills.
  • Superior organizational, project management, and multitasking capabilities.
  • Strong financial acumen and experience managing substantial operating budgets.
  • Excellent negotiation, vendor-management, and problem-solving skills.
  • Ability to prioritize effectively and respond appropriately to urgent and evolving situations.
  • Demonstrated ability to maintain composure and professionalism in high-pressure environments.
  • Valid driver's license and reliable transportation.
  • Ability and willingness to work a flexible schedule, including evenings, weekends, holidays, and periods of extended availability.
  • Ability to travel/work seasonally between Palm Beach Gardens, the Hamptons, and New Jersey.
