SUMMARY:
The Philadelphia Virtual Academy (PVA) Virtual Room Coordinator is responsible for managing and supporting the daily operation of PVA's Virtual Support Room. This highly active Zoom-based environment serves as a central location where students connect with teachers and staff to receive academic assistance, intervention support, technology assistance, and general program guidance. The Virtual Room Coordinator provides clerical and administrative support while ensuring students are connected to the appropriate resources and personnel in a timely and professional manner.
  • Location: Hybrid - this position may work from home 2-5 times per week based on program needs & at The Ferguson School Building (2000 N 7th St Phila, PA 19122)
    • Philadelphia residents preferred
  • Schedule: 8:00 AM - 4:00 PM, following the PVA academic calendar year
  • Start Date: August 11, 2026
  • Pay Rate: $19.40 per hour

PRIMARY RESPONSIBLITIES:
Virtual Room Operations
  • Manage and monitor the daily operation of the PVA Virtual Support Room.
  • Welcome students and families into the virtual environment and assist them in accessing appropriate supports.
  • Direct students to teachers, counselors, advisors, intervention staff, and other support personnel as needed.
  • Monitor student participation and maintain a safe, professional, and productive virtual environment.
  • Track room attendance, usage data, and student support requests.
  • Troubleshoot basic technology issues and assist students with accessing online platforms and resources.
  • Communicate recurring student concerns and support needs to appropriate staff members.
  • Coordinate schedules and virtual room coverage to ensure consistent student access to support services.

Student Support and Engagement
  • Assist students in accessing academic support, intervention services, tutoring, and other educational resources.
  • Provide information regarding school procedures, schedules, and available support services.
  • Support outreach efforts for students requiring additional academic or engagement assistance.
  • Assist with virtual events, orientations, information sessions, and student support initiatives.
  • Foster a welcoming and supportive environment that encourages student engagement and success.

Clerical and Administrative Support
  • Maintain accurate records related to virtual room attendance, student interactions, and support services provided.
  • Collect, organize, and report program data as assigned by the Student Support Liaison.
  • Perform data entry, filing, record maintenance, and other clerical duties.
  • Assist with preparation of reports, correspondence, and program documentation.
  • Support special projects and operational initiatives as assigned.

Requirements
ESSENTIAL JOB SKILLS:
  • Knowledge of web-based programs and apps
  • Excellent customer service skills
  • Ability to effectively communicate (oral and written)
  • Strong organizational and time management skills with the ability to meet deadlines
  • Ability to adapt to organizational, system and developmental changes with assistance from supervisor and/or colleagues

EDUCATION AND EXPERIENCE:
  • High school diploma or GED required; post-secondary education preferred
  • Experience working with students in an educational setting is preferred
  • Experience managing virtual meetings, online learning environments, or customer service interactions is preferred
  • Philadelphia residency is preferred due to the school-based nature of the position
