Position Summary
The Receptionist Sales Coordinator, also known as an Internet Sales Agent, is responsible for managing both inbound and outbound sales communications to generate appointments and support dealership growth. This position plays a key role in converting online and phone leads into qualified sales opportunities, maintaining ongoing customer relationships, and ensuring every guest receives an exceptional experience. The ideal candidate is proactive, organized, and passionate about customer service.
Key Responsibilities
  • Inbound Communication
  • Answer all incoming calls, emails, live chats, and text inquiries promptly and courteously.
  • Respond quickly to online leads using CRM templates, approved scripts, and follow-up processes.
  • Provide initial information about vehicle models, pricing, and financing options.
  • Qualify customers and schedule showroom or virtual appointments with sales representatives.
  • Outbound Communication
  • Make outbound follow-up calls to internet leads, previous customers, and unsold prospects.
  • Re-engage leads who are not yet ready to purchase or who missed appointments.
  • Conduct post-appointment and post-sale follow-up to ensure satisfaction and encourage repeat business.
  • Execute targeted outbound call campaigns to support dealership promotions and events.
  • CRM & Data Management
  • Accurately log and track all customer interactions, appointments, and updates in the CRM system daily.
  • Maintain up-to-date customer contact information and communication history.
  • Monitor lead progress and coordinate with the sales team to ensure timely follow-up.
  • Team & Process Support
  • Work closely with the sales team and management to align lead-handling strategies.
  • Participate in weekly team meetings and training sessions to improve efficiency and performance.
  • Support marketing efforts, dealership events, and special outreach initiatives as needed.

Qualifications
  • REQUIRED
  • At least one year of customer service, call center, or inside sales experience.
  • Comfortable making outbound and inbound calls in a professional and engaging manner.
  • Excellent phone etiquette and communication skills.
  • Strong computer literacy, including CRM systems and Microsoft Office.
  • Friendly, outgoing personality with a team-oriented attitude.
  • Reliable, organized, and able to thrive in a fast-paced dealership environment.
  • Willing to work evenings, weekends, and holidays as needed.
  • Must pass a pre-employment background check and drug screening
  • PREFERRED
  • Previous automotive dealership experience in BDC, internet sales, or appointment setting.
  • Knowledge of CRM systems such as DealerSocket, VinSolutions, or eLead.
  • Understanding of vehicle financing, trade-in, and sales processes.
  • Bilingual (Spanish and English) - verbal and written proficiency
