The Bookkeeper / Office Administrator plays a critical role in maintaining financial clarity, tracking performance, and supporting the company's continued growth.ย 

Role Summaryย 

The Bookkeeper / Office Administratorย is responsible forย the day-to-day execution of the company's accounting and administrative financial functions. This role ensuresย accurateย transaction processing, consistent reconciliations, andย timelyย managerial andย financial reportingย usingย ProContractor/ViewPointย andย ProCore. The position requires a strong understanding ofย basicย accounting fundamentals, attention to detail, and the ability to communicate financial information clearly to management and external partners.

--THIS IS A PART-TIME POSITION TO START. FLEXIBLE HOURS - 30 to 32 HOURS A WEEK.

This will eventually become a full-time position but is part-time for the near future.ย ย 

$20 - $30 a week

Core Responsibilitiesย 

Accounting & Financial Managementย 

  • Maintainย accurateย and up-to-date financial records inย ViewPoint/ProContractorย 

  • Record and reconcile daily financial transactions, including:ย 

    • Salesย 

    • Purchasesย 

    • Receiptsย 

    • Retainageย 

    • Paymentsย 

  • Manageย Accounts Payable and Accounts Receivable, ensuring accuracy and timelinessย 

  • Prepareย regular bank and account reconciliationsย for auditย 

  • Ensure transactions are properly coded and supported with documentationย 

Reporting & Analysisย 

  • Prepare and distribute financial reports on a:ย 

    • Weeklyย 

    • Monthlyย 

    • Quarterlyย 

    • Annual basisย 

  • Support budgeting and forecasting activitiesย 

  • Identifyย discrepancies, trends, or concerns and escalate to management as neededย 

  • Maintain financial data in a clear, organized, and audit-ready formatย 

Compliance & External Coordinationย 

  • Coordinate with externalย partnersย for: ย 

    • Budget preparationย 

    • Weekly Cash Flow Managementย 

    • Labor Burden and Overhead Absorption Reportingย 

    • Tax preparationย 

    • Reviews or auditsย 

  • Support compliance with local, state, and federal financial regulationsย 

  • Maintainย documentationย requiredย for audits and regulatory reviewsย 

Communication & Administrative Supportย 

  • Provideย timelyย financial updates and summaries to managementย 

  • Communicate clearly with internal team membersย regardingย financial processes or requirementsย 

  • Support general office administrative tasks as needed toย maintainย smooth operationsย 

Required Qualificationsย 

  • Proficiencyย inย ViewPoint/ProContractorย 

  • Proficiencyย inย MS Excel/MS Word/MS Teams/MS Outlookย 

  • Strong understanding of accounting principles andย managerial/financial reportingย 

  • High attention to detail with strong organizational skillsย 

  • Ability to work independently and manage multiple prioritiesย 

  • Clear written and verbal communication skillsย 

Preferred Skillsย 

  • Experience withย managerial accountingย conceptsย 

  • Ability to explain financial information to non-financial team members in plain languageย 

  • Experienceย supporting small-to-mid-sized business operationsย 

  • Experience withย customer service communicationsย with regard toย A/R collectionsย and A/P Payments.ย
