Canterbury Court is looking for a Vice President of Facilities Management to join our family. This is a full-time position located in the Plant Operations division of our Life Plan Community (LPC). We invite you to experience Canterbury Court.

Requirements

RESPONSIBILITIES

Oversight of Plant Operations, EVS, and Security Teams

A. Plant Operations

1. Ensure that inventory and billing systems for work orders are accurate and up to date

2. Oversee work order request process and ensure completion according to facility standards

3. Review building supplies ordering processes. Set up and maintain group purchasing to maintain necessary inventory and avoid one-off purchases

4. Provide oversight of all vendor contracts, renegotiating when necessary and reviewing via RFPs at regular intervals

5. In tandem with the Security Director and Maintenance Manager, monitor all safety systems, including fire, sprinkler, and emergency call systems, and maintain to code requirements

6. Manage and oversee all service contracts that presently exist and those added to maintain all systems of the property. Regularly review for completion to standards

7. With the Maintenance Manager, perform routine checks to maintain building standards and address maintenance needs. Create and maintain regular reporting on routine checks

8. Oversee work order system (WorxHub), including Facilities Condition Assessment to predict upcoming spending and leverage Capital Expense budget effectively

9. Interact with residents in a helpful and friendly manner

10. Manage all aspects of landscaping contracts with garden team input. Conduct bi-annual plantings, irrigation, and maintenance

11. Perform monthly inspections of grounds to ensure walkways and grounds are free and clear and are up to date with current ADA standards.

12. Maintain pool and spa with a certified pool operator's license on staff

13. Perform other duties as directed by CEO and CSO

14. Structure a Maintenance on-call program or alternative methods of 24/7 coverage for the maintenance team

15. Hold regular 1:1 meetings with department directors to create departmental goals and provide guidance and accountability to achieve those goals

16. Have weekly 1:1 with CSO to review all departments under your purview and report out on goals, needs, and strategies to improve each area.


B. Employment Regulations

1. Develop goals, objectives, and operating standards for Plant Operations, Garden, Security, and EVS

2. Attend Department Directors' meetings and serve on appropriate committees

3. Evaluate human resources needs, determine job responsibilities, assist in recruitment, employment, training, supervision, motivation, and evaluation of employees

4. Supervise all direct reports, including payroll management, time off requests, coaching, and performance improvement

5. Maintain or create current job descriptions and evaluate personnel on this basis

6. Conduct or bring in employee conferences, in-service, trainings, and other learning and development opportunities for staff as appropriate

7. Ensure that all staff have appropriate employee uniforms and ensure all employees always represent CC standards in every interaction.

8. Serve with other Leaders in the development of facility goals and objectives, policy decisions, and quality improvement programs.


C. Renovation and Capital Projects

1. Supervise the project manager to maintain design standards for made ready, model, and new move-in apartments

2. Coordinate with Project Manager to ensure General Contractor(s) is on schedule with all apartment related renovations

3. Supervise all relocation of offices as approved by CEO or CSO

4. Prepare all Monarch pavilion apartments/rooms for care level changes

5. Manage all physical relocation of in-house transfer of residents in all levels of care, leveraging maintenance team and/or partner vendors in the process

6. Oversee process and protocols for resident 15-year refresh projects in independent living

7. Develop and implement annual operating and capital budgets for each department along with the department director (if applicable), and hold accountable to the approved budgets

8. Supervise implementation of all approved Capital Budget items to maintain building standards


QUALIFICATIONS

Education & Experience

Minimum bachelor's degree (in a related field preferred)

Minimum 5 years of advanced training and/or experience in senior living plant operations with demonstrated knowledge of operational systems and management

Executive presence and supervisory experience required


Knowledge, Skills & Abilities

Organizational and managerial abilities and teaching skills to supervise, direct, and educate a team

Understanding of and compassion for human behavior, and the psychological development of the aging population of Canterbury Court

Good judgment regarding all decisions involving personnel policies and resident care policies

Ability to communicate well with people of different social and economic backgrounds

Ability to identify and anticipate the needs of the residents and staff, and to provide any necessary follow-up

Must possess leadership ability, organizational skills, the fortitude to accept responsibility, as well as the ability to organize and administer the staff budget to its fullest potential
