Job Description

We're hiring a Senior Administrative Assistant to support three Engineering VP/SVP and their leadership team. You will go beyond traditional administrative support-you'll guide execution, understanding, and daily operating rhythm to make senior leaders more impactful. You will work onsite in Costa Mesa, CA reporting to the VP of FinOps.

What you'll do:

  • You will manage three complex calendars in lockstep, assessing inboxes, drafting communications in each leader's voice.
  • You'll handle travel (international, domestic), expenses, vendor coordination, and logistics.
  • You'll build the weekly, monthly, and quarterly operating schedule. Staff meetings, skip-levels, QBRs, PI planning, town halls, workshops, board-adjacent prep sessions.
  • Take meeting minutes and help track action items from meetings when requested. Organize presentation materials, equipment ordering, office supplies etc.
  • Be a trusted communication liaison for executive leadership.
  • Identify needs and remove friction to improve leadership effectiveness
  • Leverage advanced AI fluency and tools to compress executive workload and efficiency. Claude, ChatGPT, Copilot, or Gemini - whatever the best tool is for the job
  • You'll run Leadership offsite events, Architectural summits, recognition programs, hackathons, new-hire onboarding rituals, team celebrations, wellness events, all-hands logistics.
  • Maintain confidentiality while supporting executivelevel priorities.
Qualifications
  • 5+ years of administrative support experience to senior executives, supporting multiple leaders simultaneously.
  • Demonstrated experience coordinating corporate events or employee engagement programs across regions, time zones, and cultures.
  • Advanced proficiency in Microsoft Office Suite, with expertise in calendar management, meeting coordination, and email prioritization.
  • Experience managing complex, high-volume executive calendars across multiple time zones.
  • Hands-on experience coordinating complex domestic and international travel, with the judgment to adapt plans in real-time.
  • Experience drafting communications on behalf of executives. Fluency with Teams, SNOW, Jira, Confluence, and the major AI platforms.
  • Bonus if you've worked in engineering, financial services, or a Fortune 500 setting.
  • You MUST be able to work onsite in Costa Mesa, CA
