Job description

Job Summary:

The Fleet Administrator manages the day-to-day administration of the company's fleet and serves as the primary fleet point of contact for Operations, our internal customer.  This role works closely with Fleet Management Companies (FMCs), telematics providers, and fuel card vendors to keep vehicles properly assigned, maintained, and compliant with company fleet programs and policies.  The Fleet Administrator resolves day-to-day fleet concerns, monitors fleet data and vendor performance, and maintains accurate, audit-ready records.

Qualifications

  • Minimum 2 years' experience in fleet administration, asset management, or a related operations support role.
  • Working knowledge of FMC programs, telematics platforms (e.g., Geotab, Samsara, Verizon Connect), and fuel card administration.
  • Familiarity with DOT/FMCSA compliance requirements preferred.
  • Strong organizational skills with the ability to manage multiple priorities and competing requests.
  • Effective written and verbal communication; comfortable working cross-functionally with Operations, external vendors, and internal stakeholders.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Self-starter able to work independently with minimal supervision.
  • Detail-oriented, with strong follow-through on documentation and reporting.

Responsibilities:

  • Serve as the primary point of contact for Operations on assigned and pool fleet vehicle needs and concerns.
  • Manage day-to-day administration of the pool fleet, including vehicle assignments, transfers, and availability.
  • Coordinate with FMCs on vehicle ordering, registration, titling, maintenance scheduling, and disposal/remarketing.
  • Monitor telematics systems (GPS, camera, idle time) for proper function and coordinate repairs or replacements as needed.
  • Review fuel card activity and flag potential misuse or anomalies to management.
  • Track vehicle compliance with company fleet programs and policies, including registration, inspections, and required maintenance.
  • Maintain accurate fleet records and support audit-readiness of fleet documentation.
  • Generate and distribute fleet utilization, maintenance, and compliance reports to Operations and management.
  • Support accident and incident documentation and claims coordination as needed.

Education:

  • High school diploma or GED required.

Certifications/Licenses:

  • Valid driver's license with no restrictions that would prohibit driving a company vehicle.

Travel Requirements:

  • The percentage of travel required for this position is 0 - 10%.

Work Schedule:

  • Monday, Tuesday, Thursday in office with option for Wednesday and Friday remote work.  Standard business hours.
