Job Description Meeting & Event Sourcing Specialist Charlotte, NC Pay: $41.00/HR Job Summary: The Meeting & Event Sourcing Specialist is responsible for managing venue sourcing, supplier negotiations, and contracting activities for corporate meetings, conferences, and events. This role partners with internal stakeholders and external suppliers to identify optimal venues, negotiate favorable commercial terms, manage RFP processes, and ensure events are delivered successfully while meeting business, financial, and compliance requirements. Key Responsibilities: Manage end-to-end venue sourcing activities for corporate meetings, events, and trade shows, including supplier research, RFP issuance, proposal evaluation, and sourcing recommendations

Utilize Cvent Supplier Network and related sourcing platforms to identify venues, manage bid processes, communicate with suppliers, and maintain sourcing documentation. Review, negotiate, and execute meeting and event supplier agreements, ensuring favorable terms related to pricing, concessions, cancellation policies, attrition, and other contractual requirements. Manage multiple sourcing and contracting assignments simultaneously while maintaining timelines, accuracy, and stakeholder communication.

Partner with internal business teams, procurement, legal, risk, and other cross-functional groups to support event planning and supplier management processes. Analyze supplier proposals, develop bid comparisons, conduct financial assessments, and provide recommendations based on business objectives. Maintain strong supplier relationships and support ongoing vendor performance management.

Ensure compliance with company policies, procurement processes, and third-party risk requirements. Required Qualifications: 3+ years of professional experience in corporate meeting and event planning, venue sourcing, hotel sales, catering, convention services, or related hospitality/event management roles. Hands-on experience reviewing and negotiating event supplier agreements and contracts.

Experience managing multiple sourcing, RFP, and contracting initiatives simultaneously. Knowledge of hotel and meeting industry commercial terms, including rates, concessions, cancellation clauses, and attrition requirements. Experience using Cvent Supplier Network or equivalent venue-sourcing technology for venue searches, RFP management, supplier evaluations, and documentation.

Strong proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint. Excellent written and verbal communication skills with strong attention to detail. Demonstrated analytical, organizational, problem-solving, and time-management abilities.

Ability to collaborate effectively within a matrixed, cross-functional organization. Preferred Qualifications:
