The Opportunity
The Site Experience Lead provides highlevel hospitality, event coordination, and administrative support to ensure a professional, organized, and welcoming workplace environment. This role oversees meeting and event coordination, workplace operations, and administrative programs while serving as a trusted point of contact for executives, employees, vendors, and visitors. The Workplace Experience Lead manages multiple priorities with discretion and professionalism, supports facilities and security needs as required, and consistently represents the organization with a polished, servicefocused approach.
A Day in the Life
- Hospitality Responsibilites
- Proactively anticipates and addresses the needs of executives, colleagues, clients, and visitors while fostering a welcoming, solution-oriented environment.
- Communicates clearly, tactfully, and confidently across all channels, maintaining a high standard of professionalism.
- Ensures exceptional accuracy and organization in scheduling, documentation, and meeting or event preparation.
- Manages competing priorities and unexpected challenges with calm, discretion, and a solutions-focused approach.
- Partners effectively with cross-functional teams and serves as a trusted point of coordination.
- Handles sensitive information with integrity, discretion, and sound judgment.
- Consistently represents the site location and overall organization with a polished, professional presence appropriate for an executive environment.
- Event/Meeting Coordination
- Coordinate meetings, events, and conferences across multiple locations, serving as the primary point of contact for attendees and stakeholders.
- Manage venue sourcing and scheduling, including offsite venue contracts, room configuration, setup/teardown, and audiovisual (AV) through collaboration with internal partners.
- Oversee catering and hospitality services, including ordering food, beverages, supplies, and ensuring all dietary and service requirements are met.
- Execute vendor management and contract review processes, and provide onsite support for event setup, execution, and end-of-day breakdown.
- Workplace Operations and Administrative Support
- Manage endtoend mail operations, including processing and distributing daily USPS mail, incoming packages, outbound shipments, mail scanning, departmental routing, shipment tracking, and maintaining required records and supplies.
- Manage office supply ordering for onsite employees, including general supplies and beverages.
- Administration of the Office Depot (ODP) ordering system, including user account setup, access management, and responding to ordering inquiries.
- Provide backup operational support on an asneeded basis for assigned location(s), including vendor escorting, security and facilities coverage, and related onsite duties.
- Provide project support for administrative services initiatives, including operational projects, process improvements, and adhoc business needs.
- Manage and support administrative programs ensuring accuracy, compliance and timely execution
- Serve as back-up coverage for Facilities and Physical Security
- Additional Requirements
- After-hours work may be required
- Minimal travel may be required
- Perform all other duties as assigned
Qualifications
- Required - HS Diploma or GED, 3 years experience in related field
- Preferred - AA Diploma - 5 years experience any work experience, events, hospitality, administrative, or similar environment
- Strong interpersonal, customer service, and communication skills with a hospitalityfirst approach.
- Excellent organizational skills, attention to detail, and ability to manage multiple priorities in a fastpaced environment.
- Proven ability to work independently with minimal supervision while collaborating effectively with crossfunctional teams and leadership.
- Effective problemsolving, quickthinking, and service recovery skills, with adaptability to changing priorities.
- Strong technical aptitude, including the ability to quickly learn new tools and work across various software applications.
- Proficiency in the Microsoft Office suite (Outlook, Word, Excel, PowerPoint).
